Job Description

We are seeking an experienced and highly organised Deputy Registrar to support the effective management and delivery of academic services at the College. This is a pivotal role requiring leadership, data stewardship, and coordination across the full student lifecycle--from admissions through to graduation.


The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of 18.43 per hour + holiday pay


Key Responsibilities



Team and Process Leadership



Support the College Registrar in managing the Academic Office, including line management of the Academic & Admissions Officer and Senior Registry Administrator Ensure smooth workflow, prioritise tasks, and manage team development and training Contribute to policy development and lead its implementation

Student Data Management



Act as a data champion, ensuring the accuracy and quality of student data throughout the academic year Manage ERM database input, student enrolment records, and key reporting processes Provide timely and accurate data to stakeholders across College services Serve as first point of contact for the University's Student Immigration Team and maintain compliance with immigration legislation

College Scholarships and Funding



Lead on scholarship strategy and operations, working closely with Development and Academic Offices Analyse student data to inform fundraising priorities Manage the advertisement, allocation, and reporting of scholarships, hardship funds, and travel/research grants

Admissions Oversight



Oversee the full undergraduate and graduate admissions cycle Coordinate data collection, Student Number Planning, and the admissions target-setting process Support interview scheduling, offer management, and onboarding of new students

On-course Student Administration



Supervise all academic progression processes, examination entry, suspensions, and alternative exam arrangements Coordinate graduation logistics and end-of-membership processing Liaise with academic departments and keep up to date with University policy

Communications and Outreach



Manage routine communication with prospective and current students, including email updates, newsletters, and induction materials Lead student-facing information sessions and update handbooks, website content, and digital platforms Coordinate social media activity and assist with surveys and feedback exercises

Selection Criteria



Educated to degree level or with equivalent relevant professional experience Demonstrated success in managing staff and leading a team Highly numerate, with advanced Excel skills and confidence working with data systems Prior experience in academic administration within higher education or a comparable setting Strong organisational skills, able to manage conflicting priorities and meet deadlines Excellent interpersonal, verbal, and written communication skills Discreet and confident when handling sensitive information Problem-solving skills within complex procedural frameworks Advanced IT literacy with a willingness to learn new systems Comfortable working independently and collaboratively within a small team Experience with academic regulations and awareness of data protection laws Flexible approach to working hours and a commitment to supporting students and colleagues across diverse backgrounds
