Overview



ZPos is a creative technology company based in South Marston, Swindon. We power more than 1,000 restaurant and takeaway websites, online ordering systems, and hospitality software solutions across the UK, and we also support SMEs through our sister brands.

We design and deliver everything from bespoke websites, software, and apps to integrated marketing, EPoS, and communication systems such as VoIP, WiFi, and branded print.

We are looking for an organised, proactive Digital Project Manager to take ownership of our growing pipeline of website and software projects, ensuring they are delivered efficiently, on time, and to a high standard.

The Role



As our Digital Project Manager, you will be the key link between our clients and our internal teams (design, technical, and support). You will take each new client from "sale confirmed" through to "website live", ensuring every project runs smoothly, deadlines are met, and communication is clear.

You will manage between one and five new website builds per week and could have up to 50 active client projects running at once. A "project" at ZPos always includes a website at minimum, but it may also involve additional products or services from other departments. You will track these elements until each is complete and handed over to the account management team.

You will use clear checklists, timelines, and structured communication to keep every project on track. This role requires proactive management - keeping teams accountable, maintaining momentum, and motivating departments to meet their goals. You will work closely with people across multiple teams and must be confident managing different personalities, workloads, and priorities.

While we currently use Asana for project tracking, we welcome new ideas and tools to improve how we manage projects and communicate as a company. You will play a key role in identifying and implementing better processes to help ZPos deliver projects faster, more accurately, and with less friction between teams.

Key Responsibilities



Manage the full lifecycle of website projects, from initial sale and onboarding through to final launch. Coordinate tasks across design, development, content, and technical teams. Work closely with internal teams to collect required materials (logos, menus, Stripe setup, domain info, etc.). Communicate regularly with clients to provide updates, set expectations, and gather feedback. Maintain accurate project timelines using our project management tools (Asana). Run weekly progress check-ins with team members involved in active builds. Identify and resolve bottlenecks early, escalating issues when necessary. Improve processes and documentation to make project delivery more efficient. Track performance metrics such as on-time delivery rate, build duration, and client satisfaction.

What We're Looking For



Project management experience, with a supporting qualification. Knowledge of project management methodologies. Experience managing multiple website or digital projects simultaneously (agency or SaaS background preferred). Excellent communication and organisational skills. Ability to work across multiple departments and keep projects moving. Tech-savvy and confident in learning new systems quickly. Strong attention to detail, with a focus on continuous improvement. Skilled at liaising with people across different teams, managing expectations, and maintaining positive relationships.

Desirable



Familiarity with hospitality, SaaS platforms, or e-commerce. Basic understanding of web hosting, domains, and payment integrations (e.g. Stripe). Experience with Asana, ClickUp, Trello, or similar tools. Previous experience in a fast-paced SME or creative agency environment.

Projects are delivered on time and within scope. Clients feel informed and supported throughout their journey. Internal teams clearly understand their roles and deadlines. Delivery time from sale to go-live improves quarter by quarter.
