The Dispensary Assistant supports the smooth running of Theale Medical Centre by providing both dispensary and administrative support. The post holder inputs medication requests received via Docman, assists in the dispensary during allocated hours, and helps manage workflow during busy periods. The role is key in ensuring safe and timely processing of prescriptions, effective communication with the clinical team, and maintaining high standards within the dispensary.
The post holder also helps monitor patients with overdue blood tests and overdue medication reviews, working closely with the clinical pharmacist and GPs to ensure appropriate follow up. They contribute to annual quality requirements such as DSQS and PQS by supporting data collection, preparation, and assigned tasks.

Key Responsibilities
Dispensary Duties
Assist with dispensing medication to patients according to practice procedures and regulatory requirements.
Ensure accurate stock management, including checking expiry dates and supporting stock rotation.
Support the dispensary team during busy periods or staff absence.
Respond to patient queries related to medication, ensuring good communication and escalation where needed.
Prescription and Administrative Tasks
Add medication requests from Docman accurately and promptly.
Process repeat prescription requests in line with practice policies.
Identify and flag patients who require medication reviews or overdue monitoring (including blood tests).
Liaise with the clinical pharmacist and GPs to ensure timely review and safe prescribing.
Support prescription-related audits and tasks linked to DSQS, PQS, and other quality schemes.
Systems and Workflow
Use EMIS and Docman to manage workflow, prescription tasks, and clinical communications.
Maintain accurate records and action tasks in accordance with practice protocols.
Assist with dispensary admin such as filing, stock invoices, and preparing documentation for audits.
Quality and Compliance
Follow all dispensary standard operating procedures.
Work within relevant governance frameworks including medicines management, health and safety, and confidentiality standards.
Support the practice in meeting DSQS, PQS, and other regulatory or quality requirements.
Participate in training and maintain competency for dispensing duties.
Team and Communication
Work effectively with the dispensary, clinical pharmacist, administrative team, and wider practice staff.
Attend team meetings as required.
Contribute to a positive, safe, and efficient working environment.
