The Role




The Dispensary Manager will be responsible for leading one of Chemifys most critical departments responsible for ensuring continual operations. The Dispensary serves as the backbone of Chemifys day-to-day operational activities, encompassing material dispensing, stores, logistics, and laboratory coordination. This is a senior position with a broad scope ensuring that the flow of materials, information, and resources across our sites is safe, efficient, and fully aligned with business and regulatory requirements.


In this role, you will have full oversight of the Dispensary function, managing and developing a multi-disciplinary team that includes Lab Coordinators, Production Chemists, and Supply Chain staff. You will be responsible for setting departmental strategy, building robust systems and processes, and driving continuous improvement across operations. The role demands a balance of hands-on operational expertise and high-level strategic oversight, ensuring the Dispensary can support both immediate project needs and the long-term scalability of Chemifys platform.


As Dispensary Manager, you will be accountable for the safe handling, storage, and movement of a wide range of chemicals and materials, as well as ensuring operational readiness for audits, inspections, and commercial engagements. You will play a key role in aligning Dispensary activities with Chemifys wider mission, collaborating closely with Chemistry, Engineering, Production, Procurement, and Quality teams.


The ideal candidate will bring strong experience in operations management and/or supply chain/logistics, ideally within a regulated or technical environment such as chemicals, pharma, biotech, or advanced manufacturing. You should be comfortable operating at both a strategic and tactical level from defining KPIs and implementing inventory systems to coaching staff, ensuring compliance, and representing the Dispensary during audits or VIP visits.

Key Responsibilities




Department Leadership

Lead and develop the Dispensary team, including Lab Coordinators, Production Chemists, and Supply Chain staff, fostering a high-performing, safety-first culture.

Operational Oversight

Oversee all Dispensary functions including material dispensing, stores, logistics, and lab coordination, ensuring efficient, safe, and reliable daily operations.

Inventory & Stock Control

Manage chemical, consumable, and reagent inventory using digital systems; ensure accuracy, readiness, and timely supply across all Chemify sites.

Logistics & Distribution

Oversee internal and external shipments, coordinating with Procurement, Stores, and external partners to ensure smooth and compliant material flows.

Regulatory Compliance

Ensure all Dispensary operations meet health, safety, environmental, and regulatory requirements, maintaining audit readiness at all times.

Quality & Standards

Work closely with the Quality team to support Chemifys QMS, including SOP development, CAPA investigations, and audit participation.

Process Improvement

Identify, design, and implement new systems, workflows, and best practices to increase efficiency, reduce risk, and support scale-up of operations.

Cross-Functional Collaboration

Act as the key interface between the Dispensary and wider teams including Chemistry, Engineering, Procurement, and Operations.

Vendor & Stakeholder Management

Coordinate with external suppliers, couriers, and service providers, ensuring strong relationships, contract compliance, and high service levels.

Documentation & Reporting

Maintain thorough records of Dispensary activities, stock movements, and compliance checks, providing regular updates to senior management.

Health, Safety & Risk Management

Lead on safe chemical handling, risk assessments, and waste management practices, embedding a strong safety culture across the team.

Strategic Planning

Contribute to Chemifys long-term operational strategy by forecasting Dispensary needs, shaping departmental KPIs, and ensuring scalability of systems and processes.

Requirements




Professional Experience

Minimum of 5 years experience in Operations Management and/or Supply Chain/Logistics Management or a similar technical support role.

Leadership

Demonstrated ability to lead, mentor, and develop multidisciplinary teams.

Organisational Skills

Strong ability to manage multiple priorities, deadlines and resources in a fast paced environment.

Digital Competence

Prolific in Microsoft Office tools, previous knowledge and experience of inventory tracking systems

Communication

Excellent written and verbal communication skills, with the ability to engage effectively across technical and non-technical stakeholders

Compliance Knowledge

Familiarity with health, safety and environmental regulations relating to chemical handling and storage.

Problem Solving

Ability to efficiently problem solve, improve processes and take analytical approaches to gap analysis, issue resolution and process improvement
