Responsibilities
Partners with the Warehouse Manager to strategically plan and adjust staffing levels across distribution office and warehouse teams, ensuring efficient support for order fulfilment, inventory flow, and shipping schedules.
Provides day-to-day leadership and oversight of distribution personnel, including office coordinators, inventory clerks, and warehouse associates, fostering a culture of accountability, safety, and continuous improvement.
Conducts regular performance evaluations, sets clear expectations, and supports employee development through coaching, training, and performance management initiatives.
Actively participates in the recruitment and selection process for distribution and warehouse roles, including interviewing candidates and supporting onboarding to ensure operational readiness.
Operations
Reviews operational records and reports to ensure accuracy, compliance with established procedures, and alignment with distribution goals.
Investigates discrepancies between inventory and stock control records, identifies root causes, and recommends corrective actions to maintain inventory integrity.
Collaborates with the Distribution Manager to develop departmental budgets, monitor expenditures, and ensure financial accountability across distribution operations.
Regularly reviews financial and operational reports to identify cost-saving opportunities and drive continuous improvement in productivity and efficiency.
Issues clear written and verbal instructions to ensure consistent execution of operational procedures.
Responsible for reviewing and ensuring Standard Operating Procedures (SOPs) are maintained by the owner across both office and warehouse functions, ensuring they are current, compliant, and optimized for operational efficiency. Identifies and implements process improvements based on SOP reviews.
Participates in the distribution services rate quoting process, contributing to competitive and cost-effective pricing strategies.
Maintains strong communication and leadership when working with third-party logistics (3PL) providers, ensuring service levels and performance standards are met.
Quality
Oversees daily distribution operations to ensure all activities are carried out in accordance with company policies, procedures, and compliance standards, while upholding the highest levels of quality, efficiency, and professionalism.
Customer Service
Maintains a professional, courteous, and proactive relationship with all customers, ensuring a high standard of service and satisfaction.
Drives customer retention and supports sales initiatives by focusing on service quality, responsiveness, and long-term relationship building.
Conducts regular Quality Management Reviews (QMRs) and retention calls with both customers and vendors to assess service performance and identify improvement opportunities.
Prepares and delivers professional presentations tailored to customer needs, and confidently hosts customer visits to showcase operational capabilities and service excellence.
Qualifications
Experience (minimum level of direct experience in a similar position) 3 years.
Excellent Problem Solving skills
Strong interpersonal skills able to communicate effectively.
Ability to work in a "Team" environment
Strong Planning, Prioritising and Organisational skills
