Job Description

We have an exciting opportunity for a Document Controller to join our award-winning Architectural Practice in our London Studio.



The Document Controller is a vital role within our Practice, supporting multiple project teams in our London Studio. Working closely with the BIM Team, Group Coordinators and the Architectural Design Team, the Document Controller will oversee the accurate management, tracking, and distribution of project documentation to ensure compliance with FCB's quality procedures. This role will play a key part in coordinating document workflows, maintaining secure and efficient systems, and ensuring the timely delivery of high-quality information throughout the project lifecycle. The successful candidate will report to the Lead Group Co-ordinator and Studio Manager.



This is a full-time position of 37.5 hours per week. We offer the opportunity of hybrid working once you have settled into the role.



Role and Responsibilities





To work across multiple projects simultaneously To control project documentation in compliance with FCB quality procedures To work closely with the project team to ensure deadlines and expectations are met To ensure the timely, accurate and efficient registration of incoming and outgoing documents, including drawings, reports, specifications, schedules, RFI's and other submittals To accurately file, distribute and track documents for review and comment To ensure preservation of all drawing and document revisions To retrieve project documentation as requested by project teams, clients, and other external project team members To assist in the organisation and co-ordination of drawings and documents in preparation for issuance To QA check drawings and documents for inconsistencies, ensuring requirements are met prior to issuance To issue drawings, reports, specifications and schedules to clients, design team members, suppliers, and contractors via the FCB document management system (Newforma Info Exchange) To upload and download drawings and documents from project extranet sites (CDE's) To liaise with external document controllers to resolve any issues relating to project extranet sites (CDE's) To prepare, review, and regularly update project document control guides including extranet site (CDE) login details, workflows, troubleshooting mechanisms and key contacts To be knowledgeable in the make-up and roles of design and construction teams To be knowledgeable in the life cycle of a drawing and information status's relating to each project phase To attend project team meetings and contribute as required To prepare ad-hoc reports as required To promote FCB quality procedures, filing and document management system (Newforma) To provide training to others To work closely with the Practice Quality Manager to improve document control procedures and develop best practice templates for future use To assist with other project administration tasks as required To maintain confidentiality around sensitive information within the terms of each project agreement


BIM Information Manager Role



When appointed to do so, to assist the project team and BIM Manager in the set-up and management of the project extranet site (CDE)



By establishing and communicating the processes, procedures, and security necessary to ensure the efficient use and integrity of the CDE By administrating the overall container structure, security groups, permissions, and workflows By monitoring the CDE to ensure that agreed protocols are being followed By QA checking all drawings and documents (naming convention, status, and revisions) By liaising with external consultants


Skills and Experience





2 years' relevant experience Knowledge of design and construction industry considered advantageous Knowledge of Electronic Document Management Systems (EDMS) and Common Data Environments (CDE's) Excellent attention to detail Strong organisational skills (naturally methodical and accurate) A passion to improve and progress the automation of document management procedures Meticulous and calm under pressure Able to work to tight deadlines Good at prioritising and managing own workload Excellent Microsoft Office skills Good written / verbal communication and interpersonal skills Enjoys working as part of a team as well as independently Familiarity with project management considered advantageous Knowledge of quality standards considered advantageous
