Job Description

Rubies is the world's largest costume manufacturer and boasts a prestigious portfolio of major licenses including Marvel, Warner Brothers, Paramount, Mattel, Lucasfilm and Universal, as well as a wide range of generic lines.

This role supports the Dropship division by managing the onboarding of new accounts and the day-to-day coordination of existing ones. The position ensures smooth setup, efficient operations, and accurate maintenance of product ranges and data. The Dropship Account Coordinator acts as a key link between customers and internal teams, ensuring operational excellence, customer satisfaction, and account growth.

This role can be offered on a hybrid basis with remote working possible following successful completion of a probationary period, however the base location of work for this role is our site in Wavertree, Liverpool - with regular attendance required to fulfil the requirements of the role.

This role is eligible for a performance-related incentive scheme, with OTE of 29,000 per annum.

Key Responsibilities:



Account Onboarding & Setup



Coordinate the operational setup process for all new dropship customers following initial sales handover. Collaborate with internal teams (IT, Content, Customer Service, Operations) to ensure systems, integrations, and product data are configured accurately and on time. Prepare and maintain required product and data assets for each retailer's platform. Complete customer setup and new line forms in line with internal and customer requirements. Support testing and validation of product listings, pricing, and inventory feeds prior to go-live.

Account Management & Growth



Act as the main day-to-day contact for assigned dropship accounts, providing proactive and responsive support. Monitor order flows, cancellations, and returns, and ensure issues are resolved promptly. Manage customer expectations regarding timelines, deliverables, and issue resolution, working closely with Sales, Operations, and Customer Service teams. Track and communicate order status, stock availability, and delivery updates. Coordinate new range launches, seasonal refreshes, and promotional activities with Marketing and Account Managers. Identify opportunities to improve product visibility, assortment, and sell-through performance.

Data and Operations Management



Collaborate with Business Intelligence and Account Management teams to analyse performance data, identifying trends, gaps, and opportunities for improvement. Support demand forecasting, production planning, and warehouse coordination to align stock availability with customer requirements. Maintain accurate records of product listings, pricing, and account data to ensure consistency across systems. Contribute to process improvement initiatives aimed at enhancing efficiency, accuracy, and customer experience.

Essential Qualifications and Experience:



Experience in a sales support, account coordination, or e-commerce operations role (dropship experience preferred). Strong understanding of online retail operations and fulfilment processes. Proficiency in MS Office (especially Excel, PowerPoint, and Outlook). Experience with ERP, CRM, or e-commerce platforms (e.g. Shopify, Magento, Mirakl) is an advantage. High attention to detail and accuracy, particularly with data management and reporting. Strong organisational and multitasking skills, with the ability to prioritise effectively in a fast-paced environment.
