Practice Manager



Purpose of the job:



Carry out management duties to ensure effective running of Turret Orthodontics and Manor Dental Care and perform such other tasks as reasonably requested by the Head of Business Integration or the Managing Director.

The post holder will:



Manage all clinical staff including, orthodontists, orthodontic therapists, treatment coordinators, dental nurses, receptionists, cleaners, and temporary contractors Ensure all staff carry out best Orthodontic care to patients, including to patients with complex medical, physical and emotional needs. Take responsibility for the management of the practice in the key areas of finance, HR, health and safety, stock control and clinical governance. Follow practice policies and procedures and to monitor the staff and help them to follow policies and procedures Promote, establish and maintain productive working relationships with all members of the team and provide an environment that encourages patient involvement where patients seek help, advice, and education. Act as a positive role model within the practice for all staff and patients by upholding the Turret and Manor values; smiling, being solution focused and an exemplary team player. Ensure all staff required have professional indemnity in place and all necessary CPD in undertaken. Liaise with the principal on all matters concerning finance, administration, pay and service conditions Supervise all staff in the practice to ensure they are trained according to practice guidelines, and adhere to the practice policies concerning punctuality, uniforms and appearance, pay, sick leave, annual leave, and other important areas that impact practice standards. Take care of your own Health & Safety and that of others who may be affected by your work. Maintain regular, consistent and professional attitude & attendance, punctuality & personal appearance.

Key Management tasks



Support finance by working with suitable audit and financial reporting systems, and maintaining suitable systems for sales and purchase ledgers and financial reconciliation, to ensure the efficient and effective management of the practice Ensure adherence and monitor performance against the business plan Produce monthly management accounts, using systems set my finance controller, and discuss the practice performance with the Head of Business Integration and Managing director. Support the operations & finance to develop budgets, and control capital purchases and the inventory Ensure all monies are banked appropriately and ensure effective credit control methods are in place including payments of invoices and collection of outstanding debts Oversee the payroll function and arrange for the timely payment of salaries and payments to all team members including performers Develop and keep up-to-date all practice policies and procedures, train practice staff in their use and ensure that the relevant procedures are followed at all times Manage implementation of the practice clinical governance system Ensure maintenance and back-up of the practice computer system, with the support of IT Control inventory and stock ordering system Liaise with reps and negotiate best prices for dental materials and equipment

Health and Safety, equipment maintenance:



Perform the duties of a Health and Safety Manager and ensure that all staff are aware of and adhere to appropriate health and safety policies and procedures Ensure that all practice equipment is maintained and serviced in accordance with the manufacturer's instructions and practice policies

Personnel Responsibility:



Undertake appropriate HR duties in respect of recruitment and selection, induction, training, monitoring of CPD, appraisal, performance issues, pay, grievance and disciplinary issues and dismissal Keep and monitor staff records including sickness and other absence and annual leave

Patient Responsibility:



Manage the practice complaints system Manage and respond to patient queries Arrange and attend training and practice meetings

Education and Experience



The post holder will be expected to:

Be IT literate with good English writing and reading skills Be committed to furthering your professional development, learning new skills (including improving your technological skills in line with our new state-of-the-art in-practice technology have worked previously as a Practice manager for at least 1 year in the dental industry or similar, and have experience of two plus years in either or both dental nursing or dental receptionist roles.

Communication



The post holder will be expected to:

Communicate effectively with patients, clinicians, other staff members, professional bodies and external agencies. Liaise with dental laboratories regarding work/reports for patients. Communicate with other healthcare groups and work in collaboration with them regarding the patients' continuing care. Participate in relevant promotional days. Provide telephone advice and reassurance regarding patients with emergency dental problems and support/educate the reception team where necessary. Use email and other effective channels for communication, in accordance to company guidelines.
