Job Description

The Portway RDC is a friendly community run gym and sports facilities. It has fully equipped weights and cardio rooms. In addition, it has 2 all-weather 5 aside football pitches and a number of grass playing pitches which are used by community sports clubs and other groups.

Our mission is to provide an inclusive and welcoming environment for all members, whether they're here to work out, play sports, or take part in fitness classes.

We are now looking for Duty Managers to join our team on a casual, part-time basis to help ensure smooth operations and outstanding customer service.

At this time afternoon/ evening shifts and weekends are our priority.



ROLE OVERVIEW

The Duty Manager will be responsible for the smooth opening and closing of the gym and sports facilities, ensuring the safety and security of the premises. This role includes performing administrative tasks, such as replying to customer emails and addressing enquiries or concerns from members. In addition to interacting with customers in a friendly and professional manner, the Duty Manager will be expected to be proactive and help improve and maintain the site during quieter periods, with a particular focus on ensuring cleanliness and tidiness throughout the facility.

JOB DESCRIPTION

1. Opening & Closing the Facility

If the first shift of the day, unlock and secure the gym and facility at the start of shift.

If the last shift of the day, close the facility at the end of the shift, ensuring all areas are properly locked and secured, and that the gym is tidy and ready for the next shift.

Ensure all doors, windows, and gates are secure and that any necessary equipment or supplies are ready for use at the beginning of each shift.

2. Member Engagement & Customer Support

Greet members and visitors upon entry and assist with any enquiries.

Ensure that members are following gym policies and procedures, including health and safety regulations

Address any immediate issues or concerns from members and escalate to the Centre Manager if needed.

Replying to Customer Emails:

o Respond to customer emails in a timely and professional manner, addressing enquiries, booking requests, or feedback.

o Provide clear information about gym services, facilities, and policies.

o Ensure that all customer communication is handled with courtesy and respect, fostering a positive image of the facility.

3. Proactive Facility Maintenance & Cleaning:

When not engaged with customer service, take the initiative to improve and maintain the gym and sports facilities.

Perform cleaning duties across the site, including gym areas, common spaces, restrooms, and changing rooms, ensuring that the environment is consistently clean and welcoming.

Tidy away weights and other gym equipment

Ensure the gym equipment is well-maintained, ensuring that any faults are reported promptly.

Keep all areas tidy and organised, paying attention to high-traffic areas.

4. Health & Safety Compliance:

Enforce health and safety policies and procedures to ensure a safe environment for all members.

Act as the first point of contact for emergency situations, including providing first aid if necessary.

General Administrative Duties:

o Ensure the smooth running of facility bookings, including gym sessions, classes, and football pitch bookings.

o Assist with managing facility schedules and report any operational issues to the Centre Manager.

KEY REQUIREMENTS

Experience

Experience in a customer-facing role, preferably in a gym or sports facility.

Skills

Strong communication and customer service skills, with a professional tone when responding to emails and dealing with customers

Ability to work independently and manage the opening/closing processes without direct supervision.

Basic administrative and organisational skills, including managing email correspondence efficiently.

Proactive attitude toward maintaining the facility and ensuring it is always clean and operational.

Personal Attributes

Friendly, approachable, and professional.

Reliable and responsible, with a strong attention to detail.

Able to manage time effectively and take initiative as needed.

Enjoys working as part of a team while being able to work independently.

DBS

The position of Duty Manager is classed as a regulated post and therefore requires a DBS Disclosure. Where the individual does not already hold a DBS Disclosure, it will be necessary for the post holder to be submitted for a DBS check.

Desirable (Not Required)

First Aid and CPR certification (if not, will be required to attend an online course).

Knowledge or interest in fitness or sports is a plus.
