Ea & Office Manager (office Based) 4 Month Ftc Contract

Job Description


We have the pleasure of supporting this specialist Investment firm in St James who are looking for an EA & Office Manager to cover a sabbatical on a 4 months FTC (commencing in September 2023). Joining this wonderfully welcoming team you will be a key support to the business overseeing the day to day operations of the office and providing excellent EA support to the CEO.

Responsibilities:

  • Providing full support to the CEO, involving: gatekeeping, diary management, meeting organisation, travel arrangements, expenses, and some personal administration.
  • Support with the coordination of Board Meetings and Investment Committees across various time zones. Involving: travel, diary management and arranging documents.
  • Managing an 8-person office and ensuring smooth operations for the wider team.
  • Providing ad hoc administrative support to the Investment team.
  • Overseeing utilities and equipment: phones, IT, office equipment and stationery.
  • Maintaining all areas of the office and kitchen area and preparing the meeting room for external client meetings.
  • Answer incoming calls and direct as required, greeting visitors to the office.
  • Management of company correspondence, couriers and post.
  • Act as a point of contact for internal and external stakeholders.
  • Dealing with confidential matters in an appropriate manner and with integrity.
  • Facilitating charitable donations in respect of the company\xe2\x80\x99s charity programme.
  • Event management: organising client and team lunches, Christmas party, Company offsite and conference travel for the team.
  • All other related duties as determined reasonable by the needs of the business.
Qualities & Experience:
  • EA & Office management skills essential (Investments background or similar highly preferred)
  • Graduate calibre
  • Dependable, flexible and trustworthy
  • Exceptional interpersonal skills with a friendly and professional demeanour
  • Experience working in a similar role and industry
  • High attention to detail and accuracy
  • Proactive and resourceful
  • Excellent communication skills with a can-do attitude
You must be able to commence end of August/early September to be considered and be able to commit for the full duration of the sabbatical with some flexibility for extension.
