Scottish Swimming have a part-time opportunity (3 days per week) for an organised education officer to join our Aquatics Team.

Based at University of Stirling campus, Scottish Swimming is one of the leading sports organisations in Scotland. This role will support the aquatics team on the successful implementation of our Aquatics plan.

For this role we are looking for someone with proven experience in an administrative role, who is great at juggling and prioritising a wide range of tasks and enjoys working in a fast-paced environment.

Key Functions:



Provide administrative support to the Scottish Swimming Education team Manage the operational delivery of the Teacher and Coach Education programme Provide ongoing support and training to learners and tutors and administrative support to course organisers Act as liaison point for SQA (awarding body) Support the team with the development of educational resources

JOB DESCRIPTION


KEY TASKS



Course Organisation and Administration



A. Oversee all aspects of course organisation from set up of courses through to certification ensuring all tasks are carried out in the time scales required

B. Manage the creation/set up of user accounts, set up of courses, sending out initial induction emails Support and communicate with candidates & tutors to ensure successful candidate completion, tutor standardisation and high levels of customer service are met

Manage effective operational delivery of National Framework CPD programme Act as central point of contact between course organisers, tutors and learners and all other parties. Ensure all candidate Subsidy applications are received and checks carried out to allow funding approval

Education Development



Manage the education platforms, namely OneFile and Brightspace, to carry out the following:
i. Implement, monitor and troubleshoot education systems to ensure fit for purpose

ii. Map Scottish Swimming qualifications and assessment to SQA syllabus, assessment criteria and Approved Delivery Center guidelines

iii. Ensure that all resources are up to date at all times across all delivery platforms

iv. Assist in the development of learner resources to suit all platforms, ensuring SQA guidelines are met for effective assessment, internal and external verification

Support tutor workforce training and ongoing support to ensure the successful application of delivery platforms Support with the coordination of Education Events including the bi-annual Tutor Conference Support and contribute to education working group(s) Develop appropriate monitoring and evaluation mechanisms for education programmes and manage ongoing evaluations

Course Delivery



Act as SQA (Awarding Body) Head of Centre/Coordinator, to include the following tasks:
i. First point of contact between the centre and SQA

ii. Ensure SQA set requirements are in place and adhered to, to maintain Approved delivery center status

iii. Ensure policies and procedures are reviewed regularly and updated in line with current SQA/quality assurance guidelines

iv. Monitoring and analysis of SQA Connect and Navigator systems

Approved Delivery Centre relationship manager (ADC) for partner sports, to include:
i. Implement all candidate SQA registrations and certifications. Provide assistance, support and guidance to partner sports in relation to their education process, procedures, awarding protocols and new qualification approval

ii. Work with partner sports to provide reports to

scotland

iii. Oversee procedures required to conform to SQA quality standards

iv. Develop and implement quality assurance systems within education and identify any opportunities to improve services provided

General



Promote Scottish Swimming both within and outwith the work environment. Deliver Scottish Swimming customer care standards in the work environment. Maintain knowledge of and adhere to the published Scottish Swimming policies as printed in the Staff Handbook. Maintain own personal development records and ensure that interim review and annual appraisal documentation is signed off and lodged according to company policy and timescale.

PERSON PROFILE



Essential Skills



This role is classed as regulated, therefore a PVG is required. Experience at organizing, planning and prioritizing a busy workload in an office environment. Ability to handle multiple tasks and demonstrate effective time management skills Proven ability to be proactive and work with minimal direction and supervision. Strong interpersonal, teamwork and communication skills. A good knowledge of excel, with the ability to produce reports. Competent with Microsoft Office Products Proven experience of providing excellent customer service

Desirable Skills



Experience of working in sports education, training and development Proven experience of delivering or managing education and training programmes Proven experience of internal and/or external verification processes and procedures Experience at working with volunteers Experience of organising and coordinating events
