Location:

The CASE Europe office is based in Liverpool Street, London. CASE offers Alternative Work Arrangements (AWA) requiring staff to work at least three days per week in the office, but with the option to work for up to two days per week from home. Note, all staff work in the office on Tuesdays every week and operate a rota system for Friday office cover. Occasional travel across the UK and Europe will be expected as part of this role.

POSITION PURPOSE



The Education Programmes and Events Coordinator - Europe plays a pivotal role in shaping and delivering high-impact development programmes for professionals in alumni relations, fundraising, communications and marketing roles (collectively known as the advancement profession) in educational institutions across the region. As a key member of our dynamic and collaborative team, you will support the design, execution and evaluation of educational initiatives that empower our members to excel in their roles and make a lasting difference in their institutions.



You will support the planning, coordination and delivery of a range of in-person and online learning programmes in Europe -- from one- and two-day workshops to residential training (Institutes) and the flagship CASE Europe Annual Conference (CEAC). You will also assist with activities developed in partnership with CASE's member networks, and helping to ensure all events run smoothly and deliver real value to participants. In addition, you will support the team with financial transactions including monitoring event expenses, bank transactions and debt, as well as supporting members with payments and reporting.

This role will be part of the CASE Europe regional team and the global CASE Education Division, and will involve close working with colleagues in the Finance and Operations Division



ESSENTIAL FUNCTIONS

The core functions of this position include but are not limited to the following:

Planning and logistics

Provide logistical and operational support for CASE Europe's events, including CEAC (CASE Europe Annual Conference), Institutes, one-day workshops, and online learning programmes. Lead on the coordination of a portfolio of events, managing timelines and tracking progress from initial planning to post-event wrap-up. Liaise with venues, suppliers, speakers, and volunteers to ensure smooth delivery and excellent participant experience. Support budgeting, financial tracking, and contract administration for events as required.

Programme coordination

Work with CASE colleagues, volunteer leaders, and speakers to develop and deliver engaging and inclusive content. Support programme contributors, ensuring they have the information and tools needed to participate effectively. Coordinate planning meetings with volunteer groups such as the Universities Marketing Forum (UMF) and CEAC planning committees.

Participant experience and communications

Oversee event registration processes, monitor attendance, and manage communications before, during, and after events. Respond promptly and professionally to participant queries and feedback. Contribute to post-event evaluation and reporting, helping to inform continuous improvement. Maintain accurate records in CASE's CRM and contribute to data tracking and reporting.

Financial responsibilities

Accurately record daily income received across international bank accounts (GBP, Euro, USD) to corresponding invoices using the CASE CRM. Coordinate weekly with the Education Programmes team to reconcile event expenses and process invoices by monthly deadlines. Generate and review end-of-month financial reports to ensure bank transactions are accurately reflected in internal systems. Monitor and investigate ageing receivables; assist in debt control and follow-up with clients or members as needed. Prepare and provide Statements of Account for CASE members upon request, ensuring accuracy and timely delivery. Assist in managing member purchase orders, invoicing, and applying credits in collaboration with the administrative officer. Respond promptly to finance-related queries regarding invoice payments and membership or event billing during UK/European business hours. Identify and coordinate backup support to ensure core daily financial tasks are completed during absences or attendance at events

Collaboration and contribution to CASE's mission

Work closely with CASE colleagues in Europe and globally to share knowledge, align programmes, and contribute to CASE's mission of advancing education to transform lives and society. Actively participate in team meetings, planning sessions, and wider organisational initiatives.

Person Specification

Essential

Experience of supporting the delivery of in-person events. Strong administrative and organisational skills, with attention to detail and the ability to manage multiple tasks simultaneously. Excellent communication skills, both verbal and written. Confident in using Microsoft Office and digital platforms (e.g. Zoom, MS Teams) to support event delivery and team collaboration. Strong interpersonal skills and a collaborative approach to team working. Interest in working with educational institutions and supporting professional development in the education sector.

Desirable

Experience working with member networks. Knowledge of learning delivery formats and principles of adult education. Experience using CRM systems, event management software, or data handling tools. Proficiency in a second European language.

Alternative Work Arrangement:

After 4 weeks of employment, eligible staff are given the opportunity to work from home up to 2 days per week and in-office 3 days per week.
