Job Description

PDS is a fast moving and very reactive electrical company, achieving 47% average growth every year since establishment in 2014. We operate across England and into Wales and Scotland from our main office in Cambridgeshire and from here we distribute and co-ordinate the jobs for the field-based teams.

Due to our continued expansion, we need to recruit an enthusiastic individual to join our existing office-based team, helping to ensure we exceed our clients' needs and support our onsite staff so they can deliver our projects reliably and with the required information.

The candidate ideally needs the following, however attitude and team integration are the essentials for this role:

GCSE Grade C or above in Maths, English and Science Excellent spoken and written English Ability to use Word, Excel and Outlook at a proficient level Able to use online Apps and Internet based programs for work management Having attention to detail to ensure timely responses to all enquiries.
Main duties of this co-ordinator role are to work alongside the Project Managers to:

Manage Job requests from clients and provide quote:

Input requests received and allocate surveys to ensure we have the information required to then produce a quote within the mandatory timeframes.

Quote acceptance and job booking

: Allocate acceptance of quotes to PDS systems and plan suitably experienced and qualified staff to complete the works, offer dates to the client if no dates given by the client and ensure materials are in stock or ordered.

Send documents to end user prior to works

: Ensure Risk and Method Statements (RAMS) are sent relevant to the works being carried out to the end client, landlord or building owner as identified by our client once booked.

Respond to Emails and Phone Queries

: Address emails and queries from clients and stakeholders promptly, directing to the relevant person where required, maintaining communication records as required for audits.

Prepare task instructions for the PDS teams

: Prepare task instructions with photos and plans for the upcoming works on our job management system for review and sign off by the Project Manager

Collate task completion information

: Extract from Job Management system all returned information, photos and as-laid drawings, store in job folders and return appropriate information to the client.

Prepare and Send Costing Sheets

: Create and verify costing sheets, including hours worked and materials used, comparing to original quote and check for variations received, highlight to PM any non-captured additional costs. Process costing sheet once approved and create draft invoice for finance approval and submission.

Maintain Spreadsheets

: Populate and update spreadsheets tracking jobs, hours worked, and general company information, ensuring accuracy for audit purposes.

Process Purchase Invoices

: Check purchase invoices received for works are correct and captured before sending to PM for sign off.

Assist the Project Manager

: Assist with client review meetings, information requests and general duties as required.

We operate a 45 hour week, 8am-5pm, Monday to Friday, with an hour break for lunch, 25 days annual leave plus bank holidays.

The salary range is broad to allow for the right person in terms of attitude, and reward accordingly levels of experience in similar roles, relevant training and certification

Job Types: Full-time, Permanent

Pay: 31,200.00-35,000.00 per year
