Overview


We are seeking a highly organised and detail-oriented Administrative Assistant to support our team in a fast-paced office environment. The ideal candidate will possess strong clerical skills and be proficient in various administrative tasks, ensuring the smooth operation of daily activities. This role requires excellent communication skills, both verbal and written, as well as a solid understanding of office software and procedures.

Responsibilities



Comply with the Company's Health & Safety Policy and maintain basic Health & Safety requirements at all times.

Pursue safe working practice and take action if any machinery or your working environment becomes unsafe by reporting to your Team Leader/Supervisor/Manager

Comply with the Company Rules and ensure that discipline is maintained at all times.

Ensure that housekeeping is maintained and the company 'Clean as you go' is adhered to at all times.

Look after any equipment you are working with, and report any problems whether electrical, mechanical or damage.

Contribute to the continuous improvement of the work processes.

You are responsible for the quality of your own work

Ensure all work is of the highest possible standards at all times.

Highlight any necessary training needs.

Have a proactive approach to learning other key jobs in your department

Report/Feedback to Management and Staff (this list is not exhaustive of other incidents that need reporting)To assist the Engineering Co-Ordinator in the smooth running of the administrative function within the Engineering department.


Collect and collate the Work Request Forms across the site, logging and issuing them to the relevant Engineers to complete the work.

Maintain the Site Spends Tracker, issuing P.O. Numbers to relevant suppliers whilst maintaining site budgets.

Ensure all relevant training is trained out to ALL Engineers with a specific focus on: Take a Minute, Lock Out Tag Out, Ladder Training, and PUWER Training

Ensure all contractor coming onto site complete an induction prior to entering site and carrying out any works. Ensure contractors are re-inducted every 3 months.

Maintain up-to-date Contractor Insurance Documents/ Policy, Risk Assessments and Method Statements (RAMs), and Certificates

Maintain and issue the Planned Preventative Maintenance (PPM) documents to the relevant Engineers, ensuring an up-to-date schedule is always complete.

Ensure the required paperwork across the site is 'Audit Ready'. Potential documents may include, but are not limited to:

1. Advanced Water Systems Monthly Reports

2. Water and Drain Plans

3. PPM System and PPM Risk Assessment

4. Contractors Inductions and Service Providers

5. Maintenance Records, EWR Log, Temporary Repair Forms etc.

6. COSHH Documents

7. Workshop Standards, Toolbox Inventories

8. Site Fabrication Documents

9. Engineers training, certificates, and qualifications

10. Take A Minute and completed forms.

11. Fire Alarm and Ammonia Plant checks

12. In-line flour sieve checks and other CCP checks

Job Types: Full-time, Permanent

Pay: 11.75-12.45 per hour
