Job Description

In this role the post holder:

This role is a key to the efficient running of Shiel Buses and is responsible for the day-to-day administration of the Engineering departments core functions. Key activities include supporting the MOT/Inspection process covering logging, checking, and filing of core paperwork, preparing reports, ordering of spare parts, and other defined tasks to support the department.

The successful candidate will be comfortable with routine tasks and can deliver them consistency and with accuracy. Further, the candidate will possess both a pleasant and approachable manner when engaging with people in person or on the phone and be highly organised and structured to deliver role expectations each day.

A need for clear and concise skills in verbal and written communication to present information, the role holder will be professional and courteous in this successful family business.

Day to Day Responsibilities



Responsible for all office secretarial duties within the engineering function and time permitting deputise for the Administrator during times of absence.

Assisting Shiel Buses Managers as and when required.

Confidentiality - Fidelity, loyalty and professionalism are of utmost importance to Shiel Buses. Therefore, no discussion of core business activities, as per our handbook; company business must not be discussed outside the company under any circumstances.
Overall responsibilities for any telephone calls in to the department and be the first port of call for enquiries.

Review paperwork for inaccuracies and prepare any finding into a report format for the Engineering Manager.

Monitor key activities in the department to further reinforce good governance of routine practices e.g. wheel torque sheets etc.

Liaise with Engineering Manager to ensure that vehicles are efficiently and accurately maintained via inspection, servicing, and MOTs.

Monitor Stock levels and support the replenishment process.

Bookings vehicles in for annual tachograph calibrations.

Ensure that all paperwork is accurately filed ensuring that the department is efficient in this activity.

Support the parts ordering process to ensure department needs are expedited to keep fleet on the road.

Maintaining the vehicle files. Ensure MOTs, COIF Certificates and Registrations/Private plates are all valid on vehicles. Keep vehicle spreadsheet up to date with make/model, length, seats, expiry dates, chassis, and engine numbers etc. and keep spreadsheet in Garage shared file. During periods of quiet, refer to Managers for extra duties. Similarly, if overwhelmed, refer to Manager for priority and support.

Personal requirements



Pleasant approachable personality with Excellent Customer service skills. An ability to work well with others. Comfortable with routine activities. High levels of accuracy with an ability to be thorough and pay attention to detail. Highly structured and organised. Excellent written and verbal skills. Flexibility and reliability are important for the role. Confidentiality- You will be interacting with business sensitive information throughout the day. It is a requirement to ensure that this is kept private. This includes not discussing this with other drivers, family, or any person with an interest in our business operations.

Experience



Stores experience is advantageous but not a prerequisite. Working experience in an engineering is advantageous but not a prerequisite.

Limits of Authority



Not to speak to the press or public media without prior agreement of senior management (normally the Managing Director). The above duties and responsibilities must be carried out in compliance with all policies currently in force at Shiel Buses Limited.
