The Enrolment Officer plays a key role in supporting learners through the apprenticeship/commercial enrolment journey. The postholder will ensure that all learners are enrolled efficiently, compliantly, and with a positive experience, while meeting funding, DFE, and awarding body requirements.
This role requires strong organisational skills, attention to detail, and a learner-focused approach.
Key Responsibilities
Learner Enrolment & Support
Manage the end-to-end apprenticeship/commercial enrolment process for new learners
Act as the main point of contact for learners during the enrolment stage
Provide clear guidance on apprenticeship requirements, eligibility, and documentation
Support learners to complete enrolment paperwork accurately and on time
Ensure learners understand programme expectations, commitment statements, and key policies
Deliver structured enrolment introduction sessions via Microsoft Teams, ensuring learners understand programme requirements, compliance expectations, and next steps
Compliance & Administration
Check eligibility evidence (ID, right to work, prior learning, employment details, etc.)
Ensure enrolment documentation meets DFE funding and compliance requirements
Maintain accurate and up-to-date learner records on the MIS/ILR system
Liaise with internal teams to resolve enrolment queries or issues promptly
Support audit readiness by ensuring files are complete and compliant
Employer & Stakeholder Liaison
Communicate with employers to confirm learner details and employment eligibility
Support employers with required documentation and onboarding processes
Work collaboratively with tutors, assessors, and compliance teams
Systems & Reporting
Use internal systems to track enrolment progress and outcomes
Monitor enrolment deadlines and volumes to ensure timely starts
Produce basic reports as required to support funding, performance, and planning
Continuous Improvement
Contribute to improving enrolment processes and learner experience
Identify risks or delays in the enrolment journey and suggest solutions
Maintain up-to-date knowledge of apprenticeship rules and funding guidance

Essential Criteria
Strong administrative and organisational skills
Excellent attention to detail and accuracy
Confident communicator with learners, employers, and colleagues
Ability to manage multiple enrolments and deadlines simultaneously
Competent IT skills (databases, spreadsheets, MS Office or similar systems)
Commitment to providing high-quality customer service
Desirable Criteria
Experience working in apprenticeships, education, or training
Knowledge of DFE funding rules and apprenticeship compliance
Experience using learner management systems (MIS/ILR)
Understanding of safeguarding, Prevent, and data protection requirements
