Job Overview


To support the long-term purpose and vision of the estate through the execution of the financial plan for residential and commercial let property portfolio, the delivery of exceptional tenant customer relations and the proactive upkeep (in conjunction with Head of Maintenance) of a well maintained and legally compliant build asset stock. To provide comprehensive financial and administrative support to ensure the smooth running of all finance-related activities, working closely with the Head of Finance.

Duties



To perform transactional processing, recording day to day financial transactions (purchases, sales, payments, receipts). To ensure accurate ledger management, conducting regular bank reconciliations and supplier statement reconciliations. To assist with month-end close activities and support the preparation of management accounts To sustain projected annual rent increases and maximise gross yield for residential and commercial occupations, optimising the performance of the portfolio To ensure that properties are let promptly and within financial targets, minimising void periods. To minimise gap between optimal 'legally billable' rental figure and actual. To ensure residential rent arrears are less than agreed target To implement strict expenditure recommendations in conjunction with Head of Maintenance while working closely with the finance department To be the primary point of contact for all residential, commercial and [agricultural] tenants. To own quality of service with all residential, commercial and [agricultural] tenanted areas of the Estate including [Holiday Let Accommodation] that may involve: o Liaising with tenants over rolling schedule of improvements o Logging tenant requests o Carrying out check-ins/outs o Carrying out regular property inspections To work collaboratively with the Finance and Maintenance functions and retained advisors of the Estate, taking responsibility for the timely and accurate submittance of relevant information. To own and ensure that all relevant legislation including but not exclusively Landlord and Tenant Law, is complied with both in re-letting and management of properties and keeping up to date with such legislation as required. To monitor legal compliance and operating standards across the Property portfolio and ensure this is kept up to date and accurately documented at all times. To be responsible for the updating and management and real time updating of the inhouse Property Management System, and any new systems introduced.

Qualities and Skills



Professional & Technical Confidentiality and integrity in handling financial data. Organisational & Analytical Strong analytical and problem-solving skills. Highly organised with excellent attention to detail and ability to prioritise competing demands. Systems & Infrastructure Proficient in Microsoft Office. Understanding of GDPR compliance relating to data storage and reporting.
