We are looking for an Event Registration Manager who can progress to be a Project Manager within our Brighton-based team. You'll play a key role in ensuring that our clients receive a first-class solution for the events they are running.
This is not a normal 9-5 role! The events we work on take place all over the country (with some outside the UK) and so there is often travel and days away from home. Event days can be long, with early starts and late finishes, and may intrude into weekends. Whilst we use various measures to bring a healthy balance to the diary, it's important that you are happy with the unusual nature of the event industry!
General outline
Event Connections provides event registration services to conference and exhibition organisers. We provide high quality solutions using our event technology alongside great customer service.
This is a varied and interesting role for someone who enjoys working on multiple projects concurrently. Initially, you will primarily work on-site at events - liaising with our clients and leading on the Front of House aspects as people arrive to be registered and receive their badge. You'll also learn how to setup and train others in using our equipment and systems so be prepared to get hands-on!
When in the office, you'll be involved in administering event bookings for client's events and dealing with emails and phone calls on their behalf. Each event is different, and we need to provide a flawless customer service experience to attendees.
The role should progress to Project Manager where you will manage a range of event registration projects from the initial enquiry through to final reporting.
A background in events, hospitality or customer service is essential. You will need to be meticulously organised and most importantly, you will be able to work to the high standards that our clients expect.
Job role:
Officed based event registration including:
Handling phone calls, emails and other contact from event attendees.
Monitoring and checking event registrations for different projects.
Liaising with clients around delegate queries and event arrangements.
Pre-planning logistical elements of events including writing internal briefs, co-ordinating transport and accommodation, booking agency staff etc.
Producing accurate and detailed reports for clients.
Updating files and systems so key information is shared within the team.
On-site based event registration management including:
Overseeing teams to welcome and register delegates when they arrive, printing out badges, and dealing with troubleshooting and anomalies.
Liaising with clients to ensure we provide the best possible service to them.
Liaising with staff internally to ensure correct and smooth running of each event.
Training and overseeing teams of agency, freelance or client supplied staff working with us on site.
Assisting with the transportation, set-up and pack down of our equipment for events, including setting up computers, printers and handheld devices.
There are a variety of other tasks that may come under this role depending on skills and experience.
There is an expectation that this role will progress into a Project Manager position.
Essentials
Excellent, efficient customer service skills - able to deal with attendees and clients who are often senior managers in their own organisations.
Organised, methodical but flexible approach to work, dealing with multiple requests on multiple projects simultaneously, sometimes in time-sensitive situations.
Keen eye for detail, with the ability to keep track of a lot of data, requests and processes which may differ from event to event.
Professional and presentable in high-end corporate environments.
Flexible working hours, sometimes 9am-5.30pm in the office, and sometimes early mornings / late evenings on-site, with some evenings and weekends away from home.
Full UK Driving Licence, and a willingness to drive small transit style vans (training will be provided).
Terms
Based from our office in Brighton, but traveling to events around the UK and beyond.
Full-time, with some travel and long days (with time off in lieu).
Base salary of 30 - 35k depending on experience and capabilities, with opportunity to quickly progress and with additional payments for extended days away from home.
We have an annual bonus scheme linked to company performance.
25 days' holiday, (3 of which must be taken between Christmas and New Year) plus 8 Public Holidays.
