Events and Executive Support Officer

to join their dynamic administrative team.


About the Role



This is a varied and rewarding role that combines high-level event management with personal assistant responsibilities to the Dean of the Faculty. You will play a key role in delivering a wide range of high-profile events and providing comprehensive executive support to ensure the smooth running of the Dean's office.


Key Responsibilities



Event Organisation



Assist in the planning and delivery of a diverse programme of Faculty events, including lectures, conferences, symposiums, and workshops -- both in-person and online. Liaise with suppliers to source venues, catering, and event materials in line with value-for-money policies. Provide on-the-day support to ensure seamless event delivery, managing logistics, coordinating staff, and resolving issues as they arise. Promote events across digital and print platforms, manage guest communications, and maintain registration systems. Manage post-event tasks including feedback collection, expense processing, and reporting.

PA to the Dean



Oversee the Dean's diary, managing appointments and prioritising commitments with professionalism and discretion. Act as the first point of contact for the Dean's office, handling correspondence, emails, and phone calls with a high degree of judgement. Arrange complex UK and international travel itineraries, including visas and accommodation. Support meetings by preparing agendas, minutes, briefing materials, and coordinating catering and logistics. Manage financial administration including processing expenses, invoices, and subscriptions. Maintain effective records and filing systems, while building positive relationships with colleagues across the Faculty and wider University.

Essential Criteria



Experience in planning and delivering events, with the ability to manage multiple stakeholders and competing priorities. Proven PA experience Strong diary management experience and a track record of making complex travel arrangements.
