The Events Coordinator will work closely with the Events Manager and wider church team to plan, organise, and deliver high-quality events that reflect the vision and values of Soul Church. This includes both internal church events and external venue hires, ensuring that every event is well-managed, on-brand, and leaves a lasting positive impression.
Key Areas of Responsibility
Event Planning & Coordination
Support the planning and delivery of internal and external events, from conception to completion.
Liaise with clients, ministry teams, and suppliers to confirm requirements.
Prepare event timelines, floor plans, and schedules.
Coordinate set-up, technical requirements, catering, and other logistics.
Venue Hire Management
Assist in managing external venue hire enquiries and bookings.
Provide accurate information, quotes, and availability.
Ensure all hires comply with church policies and safeguarding procedures.
On-the-Day Event Management
Act as a key point of contact for clients, suppliers, and volunteers.
Oversee event set-up and pack-down, ensuring spaces are restored to their original condition.
Manage event flow, troubleshoot issues, and ensure health & safety compliance.
Administration
Maintain accurate records of bookings, contracts, and budgets.
Work with the Finance Department to process invoices, receipts, and supplier payments where required.
Prepare post-event reports and feedback summaries.
Team Collaboration
Work alongside production, worship, hospitality, and facilities teams to ensure smooth delivery.
Recruit, train, and manage the events Dream Team (volunteers) for events where necessary.
Skills and Attributes
Essential:
Experience in church or faith-based event management
Proven experience in event coordination or project management.
Strong organisational and time management skills.
Excellent communication and interpersonal skills.
Ability to work under pressure and adapt to changing circumstances.
Competence in Microsoft Office / Google Workspace.
Flexibility to work evenings and weekends as required.
Full UK driving licence.
Desirable:
Familiarity with AV/technical requirements for events.
Knowledge of health & safety and risk assessments.
Knowledge of the Monday.com platform.
