Role Summary

  • Site first point of contact for all Client Events including, creating, leading and reconciling briefs and details for events
  • Delivery of events and activations within the Events process
  • Ensure pre-events meetings with the client to discuss their specific needs take place
  • Ensure local event space diaries and furniture set-ups for event spaces are managed
  • Ensure all site events are coordinated and run well
  • Ensure appropriate levels of communication are maintained with all event stakeholders
  • Take part in site (and from time-to-time) regional, collaborative leadership effort
Essential Duties and Responsibilities

The role of the Events Leader is to lead, coordinate, support and facilitate all site events and activations on the client site and be the point of contact for the client and site teams and their customers. The Events Leader is responsible for creating and nurturing a culture of excellence that delivers on the provision of a world class service for the account.

The individual will work closely with site staff and their customers, as well as other service partners in the business, and as this role is highly visible. The role is hands on as required with the role holder being involved and supporting all aspects of an event, whilst being proactive, adaptable and flexible in an ever changing, evolving and sometime ambiguous business setting. Relationships

To build a highly trusted relationship with the site teams and their customers ensuring our delivery is proactive and engaging. Listen and promptly act appropriately and constantly collaborate:
  • To work together with our site teams, SME\xe2\x80\x99s/Functions and service partners, promoting a One Team approach at all times to ensure a seamless service is provided by sharing innovative ideas and providing feedback
  • To stage the site team to deliver successful show-rounds promoting the use of all meeting room and event space ensuring flexibility and adaptability to accommodate the requests where possible
  • To feed into the review of the events policies and procedures to ensure they are aligned with business needs and are designed to always deliver service excellence
  • To effectively manage and resolve any complaints/feedback ensuring an action plan is implemented for future reference in collaboration with the EMEA Events Leader
  • To ensure any feedback following an event including audits or event inspections is followed up and actions closed to satisfaction in collaboration with the EMEA Events Leader
  • Support the EMEA Events Leader in their analysis and report production identifying possible areas of improvement and supporting the creation of action plan to address these, including proactively proposing innovation
Operational Skills and Knowledge

To be fluent in the operational functions of business events, understanding event opportunities and boundaries
  • Ensure all on-site operational manuals are up to date and relevant with all the information referred to in the point above
  • To work with the Colleague Experience Leaders and Site teams to ensure our services are consistently market leading, continually seek out opportunities to improve
Communication
  • To actively participate in meetings both internally and externally
  • To actively coordinate events regular meetings
  • To actively work with others (clients, suppliers, and the team) seeking out ideas for service improvements, feedback and suggestions for development and to share this information appropriately
  • To clearly present both verbally and in writing required events information for all parties in the business
  • To communicate with your line manager on all and any issues pertaining to HR and training
  • Able to communicate and present clearly and confidently in-person or electronically
  • Able to engage with other people to build empathy and rapport
Person Specification/Requirements
  • Experience in event coordination within hospitality, corporate and / or facilities environment
  • Experience of data analysis, interpreting and presenting data in a business environment including proposals
  • The ideal candidate will thrive in a quick moving, ambiguous environment, have an extraordinary attention to detail, while still working under tight deadlines. They will be collaborative, supportive, and skilled in handling multiple, complex, concurrent events
  • Outstanding customer service skills and orientation
  • Proficient in MS Office and Outlook, and possess excellent written and verbal communication and people skills
  • Ability to always multitask and maintain professionalism without supervision
  • Previous experience of working in a fast-paced, corporate multi-national environment
  • Must be able to demonstrate flexibility in relation to type of works carried out and availability with events often operating out of hours
  • Immaculate and appropriate personal presentation & appearance
  • An excellent customer focused manner at all times
  • Ability to be proactive and to possess strategic thinking and planning skills
  • A willingness to travel throughout the EMEA portfolio from time-to-time as required to regional offices to support multi-site events

Experience
  • Minimum 5 years\xe2\x80\x99 experience in an events operations environment
