About the role



The AoCPP is looking to recruit an experienced and passionate Event Lead to take ownership of the planning, development, organisation and delivery of our programme of online and in person events.

The AoCPP has an ambitious target to run 1-2 academic conferences per year, both online and in person, whilst also maintaining its regular programme of webinars which run throughout the academic year.

Applicants need to be able to work autonomously with a high level of self-motivation, taking responsibility for event budgets, timelines and individual event-based targets.

An excellent level of written and verbal communication is required for the role and we are looking for someone with a proven track record of delivering academic/educational events.

The role is home-based with some travel to in person events required, and the ability to commute easily to Leeds to participate in our in-person team meetings each month. Applicants need to be resident within 40 miles of Leeds to ensure this is achievable.

Main purpose of job:

To lead the planning, organisation and delivery of the AoCPP's online and in-person Conferencing and Continuous Professional Development Events programme for its membership of professionals working in the field of child protection. To communicate comprehensively and regularly with the wider AoCPP team and all event stakeholders.

Operations Manager

Hours:

20 hours per week across 4 days (Mon to Thurs flexible to include Tuesday morning)

Permanent

Salary:

35000 per annum/ (21649.92 pro rata)

Main duties



Plan, organise and deliver a successful programme of online and face to face conference events and webinars for child protection professionals.

Project manage bespoke events from concept to completion.

Create and manage event budget and marketing plans, including regular review and adaptation of such plans as events develop.

Collaborate with the Digital Marketing and Content Creator to ensure that the right audiences are identified and reached to ensure maximum attendance and events.

Work with the Digital Marketing and Content Creator to create high quality recordings of speakers for AoCPP's virtual events programme, ensuring excellent sound and video quality.

Detailed planning of online and in person events, including the sourcing of appropriate software/platforms, venues, identification of suitable dates and times for conference delivery, development of conference format, set up and pre-recording of presentations (where appropriate).

Liaise directly with event speakers and trainers to obtain speaker biographies, photographs and session overviews and share this information with the Digital Marketing and Content Creator.

Effective and timely communication with all event stakeholders whether webinars or conferences.

Upload event information and content to the AoCPP's website, using website functionality (wordpress, tickera and woo commerce) to manage and monitor event bookings and attendance.

Liaise with the Finance Officer and the Membership Coordinator with regards to payments and member enquiries that may arise through events.

Collate and analyse feedback about the events and learning programme, including constantly looking at ways to improve events and event processes.

Maintain an awareness of the child protection sector and current trends to identify likely topics of interest for future events.

Report on conference planning to the wider AoCPP team, Operations Manager and Board of Trustees as required.

Provide cover for the AoCPP Office team during periods of absence - this will include general administration, monitoring of inboxes etc.

Model AoCPP's values and ways of working.

Ensure that all Health and Safety and Safeguarding regulations are adhered to including working within the relevant risk assessments.

To be responsible for your own continuing self-development, undertaking training as appropriate to the working environment and position.

Person Specification



Qualifications



Undergraduate degree, or equivalent experience in Event Management, Online Event Management or similar field.

Relevant experience



Essential:

Demonstrable track record of delivering Conferencing and Online Webinar-style events

Experience of managing all aspects of event logistics (in person and online)

Excellent organisational and communication skills

Project Management

Experience of effectively managing event budgets

Excellent IT skills: Proficient in all Microsoft Office programmes and able to updates websites and use all functionality

Desirable:

Understanding of the charity sector in the UK and the issues it faces

Experience of using the back-end functionality of a website

Experience of working with Higher Education Institutes and/or academic staff

Experience of Client Relationship Management tools and Design packages such as Mailchimp and Canva

Understanding of the use of social media platforms for event promotion
