ROLE OVERVIEW
The Role
We are seeking an Events Manager (12-month Maternity Cover - February 2026 - February 2027) to join our senior management team. This role is highly planning-focused, requiring vision, organisation, and creativity to design and deliver our unique weddings and events.
Events range from weddings, celebrations, exclusive-use experiences, and corporate gatherings. The Events Manager will act as the central planner and coordinator, ensuring every detail is meticulously prepared and communicated across departments to deliver Glenapp's five-star standards. Once all details are finalised, the Event & Wedding Planning Manager hands over to the Operations team for delivery on the day.
The ideal candidate is highly organised, detail-driven, and thrives in a luxury hospitality environment where elevated service, discretion, and precision are essential.
KEY RESPONSIBILITIES
Strategic Planning & Leadership
Serve as the primary point of contact for wedding and event clients from sales confirmation through to final handover.
Conduct detailed consultations to understand client vision, preferences, and requirements.
Create tailored event timelines and planning schedules.
Maintain frequent, proactive communication with clients, providing expert guidance and reassurance throughout the planning process.
Arrange menu tastings, site visits, supplier walk-throughs, and planning meetings.
Manage and mentor the Event Coordinator to ensure excellence in delivery.
Event Planning & Administration
Act as the lead client contact for all pre-event planning once contracted.
Create detailed Master Event Sheets (MES) to guide operational teams.
Ensure accurate client information is captured in hotel systems (CLOCK, ResDiary, Checkfront).
Manage rooming lists, billing, invoicing, and payment timelines.
Maintain clear communication with all departments to ensure seamless execution.
Produce client-facing documentation including timelines, cost summaries, and contracts.
Monitor supplier costs, terms, and invoicing.
Provide weekly reporting on event planning status.
Liaise with trusted suppliers & external vendors.
CANDIDATE PROFILE
Qualifications & Experience
Senior experience in event planning within luxury wedding, hotels or luxury event planning.
Proven success in delivering profitable events and building customer loyalty ideally within a five-star environment.
Strong organisational ability with meticulous attention to details.
High emotional intelligence and ability to manage clients expectations with finesse.
Confidence in handling multiple event planning simultaneously.
Strong track record of creating memorable guest experiences.
Exceptional communication and leadership skills.
Proficiency in event management software and Microsoft office.
Skills & Attributes
High level of computer literacy (Microsoft Office and event management software).
Outstanding organisational and interpersonal skills.
