40,000 per annum



28 days holiday including bank holidays per annum



Days of work: 5 days out of 7 (weekend availability required) 42.5-hour week.



Hours: 8:30 am - 5:30 pm



Attendance at evening events (and weekend events) is an integral part of the job.

The role:



We are looking for someone to join our team at Seasoned Events - a venue management and catering company working at such iconic venues as the Madame Tussauds, British Museum & Kew Gardens.

To manage and deliver all aspects of the venue and catering operation at the Merlin portfolio of venues (Merlin) as events venues while ensuring an excellent client relationship is maintained and developed. Ensure the continued strategic development of the events offer, proactively identify the needs of the business, and embed processes it should take to succeed. Compliance with all Statutory Law regarding Health and Safety, Fire Safety and Security protocols; optimising profitability; improving standards and communications across the company and the venue.

Key Responsibilities:



Management:



Plan and deliver events across the venue as required, from sales handover, through to the event night and post event communication. Manage Merlin accredited suppliers list (including but not limited to production companies, florists and furniture companies) specifically deliveries, collections, security, pre-rig and de-rig. Always manage the integrity and fabric of the buildings especially in the planning, delivery and de-rig of all corporate and private events. Responsible for the direction, supervision and discipline of all suppliers, catering and production staff whilst on the premises. Responsible for ensuring correct dress code is adhered to. Manage the onsite relationship between Seasoned Events and the Merlin team. Contribute towards the continuous development of the business and work alongside the venue to realise ongoing improvements in venue facilities, procedures and working arrangements.

Sales, Customers and Client:



Ensuring a high standard of service and customer service is always delivered. Analysis of customer feedback, responding by letter/email to client requests and complaints. Host or attend both sale and operational site visits. Recommend modifications to systems and practices to improve customer experience. Day to day liaison with the client to ensure a good relationship is maintained and developed. Make a proactive contribution and build strong working relationships with the Merlin management team to ensure company direction and objectives are met. Ensure all deposit and final invoices are raised and paid within our Terms of Business. Ensure all final invoices are raised in accordance with Company Guidelines. Support Sales / Customer Services as required.

Communication:



To communicate effectively with internal and external clients and team, verbally face to face and in writing. Responsible for effectively communicating with staff on all levels. Responsible for communicating with senior operational venue management, both in terms of 'business as usual' and exceptional events arrangements/notifications/requests.

Sales and Marketing:



Upselling of events where possible.

Health and Safety:



Comply and ensure compliance with statutory and legal requirements for Health & Safety, Fire and Food Handling and ensure that all members of the team are aware of and working in accordance with these requirements. Responsible for all hygiene, health and safety relating to the event and catering operation at the venue, in order to ensure compliance by all staff at an operational level. Ensure all Site-Specific Risk Assessments and Method Statements for both catering and contractors are completed, communicated and reviewed as required by the Company policy. To carry out regular inspections and implement corrective action if required, communicate any maintenance issues to relevant parties. To communicate, train and document health and safety policies to staff.

Finance Reporting and Planning:



Ensure staffing levels are controlled to ensure maximum efficiency and effectiveness at all times. Ensure all orders are placed, processed and booked off within the required timeframes through the companies e-procurement system, using the nominated supply chain. Control, ordering and security of all beverage stocks. Ensure all staff timesheets have been completed satisfactorily for every event Ensure company procedures on ordering of goods are followed. To monitor invoice payments and pursue late payment.

General and Other Duties:



Undertake any reasonable duties as dictated by either the Senior Operations Manager or Managing Director that are within skills and capabilities. You will be asked to assist at other venues depending on business requirements from time to time.

Human Resources:



Ensure that staff adhere to current legislation as and when required as well as direction and guidance from the HR Department Ensure that all company policies are withheld at all times. Be responsible for ensuring that staff are motivated, appraised and trained

Support our commitment to local, sustainable and ethical purchasing (choosing suppliers within 50 miles of venues, choosing certified sustainable ingredients/resources, choosing social enterprise/B Corp suppliers).

Nourishing our Communities:



Managing local charity partnerships and volunteering efforts. Supporting our efforts to create jobs & support vulnerable people and those facing employment barriers into work (e.g. working with homeless charities etc).

Cutting our Climate Impact:



Supporting venue managers to reduce Seasoned's environmental impact (reducing food waste, utilities efficient). Support Seasoned executive team and compliance manager with maintaining ISO14001.
