Who we are looking for



We are seeking a highly organized and proactive Project Manager to
support the Marketing Services Director in the seamless execution of a
diverse portfolio of both digital and live event and content projects. This
includes live-streamed webinars, roundtable discussions, in-depth reports,
engaging articles, exclusive interviews, and other bespoke client-led
content and events. As the project manager, you will take the lead on
project logistics, speaker coordination, supplier management, and client
(sponsor) relations, ensuring all projects are delivered on time, within
budget, and to the highest standard. There will also be opportunities to
attend key industry conferences to oversee on-site project execution.

Key responsibilities



Project Management



Collaborate with the Marketing Services Director to develop comprehensive timelines and schedules for multiple projects. Attend weekly project meetings, ensuring alignment across all teams and stakeholders. Maintain up-to-date and organised project documentation, including Salesforce, Asana, Slack, and all relevant files on the server. Manage all aspects of project delivery to ensure smooth operations and timely execution.

Client Relations



Cultivate and maintain strong relationships with clients, providing ongoing project updates and ensuring seamless execution. Generate and present client reporting, ensuring transparency and satisfaction. Keep client portals updated with accurate, timely information.

Speaker Management



Serve as the primary point of contact for confirmed speakers, ensuring a seamless onboarding process. Coordinate speaker logistics, including availability and rehearsal schedules. Prepare detailed briefings for speakers and moderators, ensuring they are fully prepared for their roles.

Supplier Management



Oversee the booking of broadcasters, studio, and streaming services for live broadcasts. Coordinate with writers, designers, and internal teams to produce high-quality reports and other content projects. Manage invoicing and track project costs using CCS (Excel document), ensuring budget compliance.

Marketing Support



Review and proofread websites and sponsor materials, ensuring accuracy and brand consistency across all channels. Provide hands-on support during live broadcasts to ensure smooth operations. Assist with survey creation and input in SurveyMonkey, gathering key insights from stakeholders.

Administrative Support & wider Business Assistance



Aid the sponsorship sales team with the preparation of accurate contracts and agreements. Maintain up-to-date project case studies to support the sales team's efforts. Creating comprehensive conference inventories. Attend and assist at large industry conferences, contributing to event success.

The ideal candidate



Commercially savvy with a proven track record (at least 2 years) of delivering events and content-driven projects. Exceptional attention to detail, particularly when it comes to meeting deadlines and ensuring quality. Confident and composed when managing multiple stakeholders, with strong interpersonal and communication skills. Comfortable using a range of technology platforms and able to remain calm under pressure, especially when managing live events.
We are primarily looking for a part-time candidate 9 - 5.30, 3 days a week, but are also open to flexible working arrangements, perhaps for example covering school hours spread across the week. The role offers significant flexibility for the right individual.
