As an Exams and Compliance Administrator, you will play an integral part in the smooth operations of our schools. Reporting to the Group Business Manager, your role will involve utilising your core skills in communication and organisation to streamline the exams and facilities processes. Your contributions will enhance the schools' compliance to health and safety standards and exam regulations, making you a vital part of our team dedicated to fostering SEN education.
Exams
Administer the process of the various administrative functions e.g. exams, process registrations, entries, receive results, access
Register students for the correct exams
Familiarise yourself with JCQ regulations
Ensure school staff are trained on exam conditions, e.g. invigilator training
Create exam schedules for students and staff
Liaise with teachers to meet deadlines for exam registration
Maintain a good working relationship with JCQ and exam boards
Get the schools ready for JCQ inspections
Upload users to the exams office website, assign courses and send reminders to complete training
Evaluate learners' performance to ensure they meet the required standards set by the awarding body.
Assist with the internal verification process, ensuring that policies and procedures are followed.
Compliance & Facilities
Support the organisation in ensuring that the service is run in line with the Government Legislation, Ofsted regulations and our internal Quality Assurance Standards.
Represent Odyssey's Vision and Ethos, whilst developing and providing a comprehensive and flexible administration service.
Have a willingness to understand and uphold education regulations, policies and procedures and safeguarding procedures.
Be a strong team player and be able to demonstrate excellent verbal and written communication skills.
Support the facilities team by liaising with contractors to complete maintenance jobs on site.
Be proficient in using Microsoft Word and Excel and have a willingness to learn the use of our in-house databases.
Have an ability to work under pressure and prioritise your workload whilst remaining calm and professional in a busy environment.
Undertake general administrative tasks as directed by the line manager.
Finance
Answer financial services related queries diverted through the office
Advise senior staff on the process for ordering goods and services
Bank all cash/cheques paid to the school promptly
Assist the Business Director with producing financial information reports
Maintain finance records for all monies collected relating to fundraising days etc. and record all such transactions on the school accounts
Support the Business Director with the provision of information to external agencies e.g. HMRC, auditors and insurers
Support the Business Director and schools with the administration of company Revolut cards, insurance claims and collecting insurance renewal data.
Qualifications & Requirements
GCSE Grade 4 English and Maths
Further evidence of study (desirable)
Strong organizational and administrative skills
Proficiency in MS Office (Word and Excel)
Excellent communication and interpersonal skills
High level of confidentiality
Experience in exams and facilities processes (desirable)
Ability to work collaboratively with diverse teams
Familiarity with educational environments and SEN (desirable)
