Job Description

Why become an Exams Officer at Wendover?

Wendover Online School is not currently an examination centre. Students access external examinations for I/GCSE and A Level in key stages 4 and 5 as private candidates in examination centres in the UK and overseas. The primary role of the Wendover Exams Officer is to support students and their families to find an appropriate examination centre and make entries for specific subject examinations, as required by parents/carers.

The Exams Officer, working with the SENDCo and Senior Leadership Team (SLT), also supports students and parents/carers in organising appropriate Examination Access Arrangements (EAA). This involves guiding families on what documentation is required then liaising with the exam centre to ensure that EAAs are in place in accordance with the Joint Council for Qualifications (JCQ) requirements.

You will work closely with our Principal, Operations Manager, Heads of Key Stages 4 and 5, SENDCo and teaching team, all of whom will provide plenty of support for you in the role. We provide training and support, and we are available on the telephone or by email so there is always plenty of opportunities to ask questions.

The successful candidate will be required to complete a probationary period of three months, during which performance and suitability for the role will be assessed.

We ask you to:

Have a fast and stable broadband connection Liaise with the SLT, SENDCo, Heads of Key Stage, Operations Manager, subject leads, teachers and other relevant Wendover staff regarding examination entries, coursework, and assessment procedures and protocols, and ensuring the smooth running of the examination cycle Liaise with students and their families to ascertain location, examination entry requirements, and appropriate examination access arrangements (EAA) Liaise with the SENDCo and Heads of Key Stages 4 and 5 to understand which students need EAAs and provide appropriate evidence, as required Liaise with examination centres in the UK and overseas to enter Wendover students as private candidates for external examinations Ensure students and parents/carers are familiar with awarding body and examination centre timeframes, rules and regulations and how they apply to Wendover students Maintain a global map of examination centres that accept private candidates for subjects taught at Wendover Ensure that all administrative duties, checks and documentation are completed to the required level of accuracy and submitted in a timely manner to meet examination centres' deadlines Liaise with students, parents/carers and the Finance Manager on the payment of examination fees according to the school's charging guidelines Work closely with the Finance Manager to ensure that examination fees are paid in a timely manner by parents and carers and that accurate records are maintained Create examination schedules for external exams Deal with post results enquiries, processing and communicating with students, parents/carers and official bodies - including during specific, agreed holiday periods Liaise with awarding bodies and examination centres and relevant Wendover staff in relation to assessment, examination timetable clashes and special requirements for students with additional needs Liaise with and following up with subject teachers, subject leads, HOKS and relevant staff to ensure coursework, examination entries and other requests or changes are submitted within set deadlines Ensure archive files and historical data relating to assessment and examination entries and results are maintained Oversee website areas pertaining to examinations and awarding bodies to ensure accurate representation
Experience

Essential:

Knowledge of UK and international qualifications (e.g. I/GCSEs, A Levels, Functional Skills). Experience coordinating examinations and assessments in a school or college setting (internal and/or external). Working knowledge of JCQ, Ofqual, or equivalent awarding body regulations. Experience managing exam entries, timetables, and candidate data using digital systems. Proven ability to maintain accurate, confidential records and handle sensitive data securely in line with GDPR. Experience liaising with exam boards, invigilators, staff, students, and parents in a professional and organised manner. Strong administrative and organisational skills with attention to detail and accuracy under pressure. Ability to meet strict deadlines and manage multiple priorities during exam seasons. Experience communicating effectively with external partners and regulators in a professional online setting. Confident using Microsoft Office 365, and online communication tools. Understanding of safeguarding and data security responsibilities when working in an online school environment.
Desired:

Experience working in an online or hybrid school environment. Previous involvement in exam access arrangements or supporting students with SEND. Experience organising mock exams, remote testing, or coursework verification. Experience producing exam reports, results analysis, and performance data summaries for SLT. Involvement in developing or reviewing examination policies and procedures. Experience training or coordinating invigilators and assessment staff, including remote teams.
Safeguarding and Enhanced DBS clearance

We ask you to:

Take safeguarding training courses provided by a recognised organisation every 2 years Undertake a mandatory Enhanced DBS check paid for by Wendover Online School at a cost of approximately 55 Subscribe to the DBS online update service at a cost of approximately 13.00 per annum Complete our registration process including a health self-declaration Agree to report any safeguarding issue directly to the Designated Safeguarding Lead (DSL)
Training (Wendover will provide):

Annual INSET training and accessible support for each member of staff In-house annual safeguarding training Access to optional online webinars and training
By law, any person engaged in the working with children sector must be checked to ensure that you are not subject to a prohibition order issued by the Secretary of State or any sanction or restriction imposed (that remains current) by the historic General Teaching Council for England before its abolition in March 2012. Wendover Online School may not accept a certificate acquired by any other school/ company unless it is accompanied by a current enrolment on the DBS online update service.

Pay: 17.87 per hour
