Provide general and role-specific administrative support, including scheduling meetings and events, preparing minutes, drafting reports, making effective internal and external communication, etc.
Ensure compliance with college policies and legal requirements of all aspects of business.
Support partnership and external aspects of the business in a wide range of administrative duties, including preparing relevant reports, maintaining up-to-date information on partner details, records of contracts/agreements, managing arrangements for business meetings, etc.
Facilitate communication between internal teams and external partners, and be the main point of focus for administrative matters relating to external stakeholders, partners, partnerships and associate programmes.
Monitor compliance with partnership agreements, ensuring deliverables are undertaken and met by both SIRM and respective external partners. With this, tracking approval dates of programmes, contract renewal dates, dates for external compliance reports, etc., and initiating respective processes to meet agreed deadlines with external providers.
Assist with the planning and logistics for external and partnership events and visits, including examination boards, venue & associated activity bookings, visits to and from partners, making travel and accommodation bookings, etc.
Provide clerical support for arranging and assisting with partnership meetings, on and off campus as appropriate, which will include scheduling, attending, minute taking, and keeping records for operational and audit purposes
Offer central administrative assistance to collaborative partners and external businesses, which can comprise coordinating attendance at graduation events, monitoring marketing materials, facilitating access to online materials and services, external stakeholder events and ensuring good handshaking between SIRM and partner systems.
Represent SIRM internally and, where required, externally to stakeholders (other partners, businesses, etc.).
Undertake all such activities deemed necessary to support the administrative and operational aspects of business, and as agreed with reporting line management.
Qualifications, skills and experience:
High school diploma or equivalent
A degree in Business Administration, or a related field is preferred.
Previous experience in an administrative role is advantageous.
Excellent organisational and time management skills.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to handle sensitive information with confidentiality and discretion.
Ability to maintain high levels of professionalism and to work with external stakeholders.
