BBC Studios Entertainment and Music are looking for a motivated and organised Executive Assistant to supply excellent diary management and comprehensive professional, well-organised administrative support to the managing director.

A collaborative, approachable attitude is vital. You will build working relationships particularly with Talent and their agents and other divisions across BBC Studios and the Public Service.

Please note - This is not an entry level role and is not to be seen a step into production.

We require a dedicated and proactive personality to join this fantastic team.

Previous EA (Executive Assistant) experience is a necessity.

This role is hybrid, and you will be needed in the office 3 days per week

Main Responsibilities

This role will be working in a fast-paced team, liaising with senior management, internal and external contacts. Supporting the Managing Director, BBCS Entertainment & Music Productions plus two other Creative Directors in the department will require you to be personable when dealing with contacts on their behalf, highly organised and proactive in anticipating their needs.

Excellent diary management is crucial to this role as well as coordinating leadership team meetings, issuing agendas, planning and managing of national and international business trips, whilst adhering to our policies and procedures.

You will facilitate meetings and conferences, creating a smooth process for both internal and external contacts and ensuring all relevant paperwork is available. Pivotal to the role would be your ability to prioritise, build and maintain strong working relationships and be flexible to change.

Are you the right candidate?

To be successful in the role you will need to demonstrate:

  • Minimum of 3 years experience as an Executive Assistant.
  • Previous Executive Assistant experience at Director or Board level (ideally within a creative industry),
  • Experience handling confidential and sensitive information with tact and diplomacy.
  • High standard of accuracy and attention to detail.
  • Strong written communication skills.
  • The ability to work autonomously, be pro-active and work as part of a team.
  • Excellent working knowledge of computer systems, particularly Microsoft Office Suite.
  • Passionate about Music, Entertainment and the Arts.
  • Flexible approach to working hours due to production deadlines, overseas travel / timezones.
