We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to our senior executive team. The successful candidate will be responsible for managing spreadsheets, preparing board packs, taking minutes, overseeing website and policy management, and assisting with recruitment and onboarding processes. This role requires excellent attention to detail, strong communication skills, marketing experience and the ability to handle confidential information with discretion.
Key ResponsibilitiesExecutive Support
Provide high-level administrative support to the senior executive team.
Prepare reports, presentations, and correspondence as required.
Organise and maintain records, ensuring accuracy and accessibility.
Manage executive calendars, scheduling meetings and appointments.
Marketing & Social Media
Execute social media strategies to showcase projects and company culture
Manage company accounts across Instagram, Facebook and Linkedin
Manage the School's and Group websites, ensuring compliance and up-to-date information
Assist with marketing campaigns, branding and promotional materials
Board and Meeting Administration
Prepare board packs and distribute documents in a timely manner.
Take accurate minutes of meetings and track action items.
Ensure follow-up on key decisions and tasks assigned during meetings.
Data and Policy Management
Maintain and update spreadsheets to support business analysis and reporting.
Oversee policy documentation, ensuring compliance and timely updates.
Manage and update the company websites as required.
Recruitment and Onboarding Support
Assist in the recruitment process, including drafting job descriptions and coordinating interviews.
Support onboarding for new employees, ensuring a smooth transition into the organisation.
Creation and publication of job adverts on recruitment platforms including social media and company websites.
Skills and Experience Required
Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
Excellent proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
Experience with digital marketing and managing social media platforms
Tech-savvy with knowledge of tools like Canva, Meta Business Suite, Google Workspace etc
Creative eye for branding and content creation
Strong organisational skills and the ability to multitask effectively.
Excellent written and verbal communication skills.
Experience in preparing board packs and taking meeting minutes.
Familiarity with website management and policy documentation.
Ability to handle sensitive and confidential information with discretion.
Experience in recruitment and onboarding is an advantage.
Previous experience in an educational environment is desirable.
Strong attention to detail and ability to adhere to deadlines.
