Job Summary:
Provide day to day administrative support to the Managing Director (MD) and the Senior Leadership Team (SLT).
Provide efficient, competent, and reliable support primarily to the Managing Director and to further assist the members of the Senior Leadership Team, with administrative tasks, covering a wide range of activities.
To provide a confidential service to the MD and SLT on all matters relating to the business.
Job Functions:
Provide day to day administrative support to the MD and Leadership Team.
Conserves executive's time by answering correspondence, drafting email responses and letters on their behalf.
Maintain Leadership Teams appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing enquiries.
Arrange all catering requirements, via our on-site restaurant for on-site meetings and visitors when required.
Maintain contact with all levels of management internally and externally and ensure information is managed and communicated in a timely and concise manner:
Direct and maintain a single key-control-meeting calendar to include various divisions and Group meetings, liaising with equivalent functions in Division and Group; send out meeting invites in a timely manner.
Note actions on a common IT platform (e.g., Teams) for distribution to the actionee.
Travel:
Liaise effectively with our HQ Travel Provider in respect of contract renewal and services.
Book travel on BCD platform direct and provide information on travel comparisons relating to cost.
Point of contact should a traveller require urgent assistance while abroad 24/7.
Take an active role in looking at alternative travel provider options.
Act as point of contact on Insurance issues, liaising with Germany and/or AON, process claims.
Manage ad hoc projects as required by the UK Management Team.
Liaise with colleagues in Germany as and when directed for MD and various members of the SLT.
Site Services Functions:
As this department supports the whole company, certain tasks will be allocated to support the Site Service function in respect of administrative tasks.
Other tasks associated with the above functions
May be asked to work outside of normal 9-5 hours, as part of the job role.
Requirements:
Good Organisational skills
Has good attention to detail and can think laterally to solve problems.
Ability to integrate and balance priorities, work activities, and resources for the benefit of multiple key stakeholders.
Good communicator, both in writing and verbal.
Ability to work well independently, against tight deadlines, whilst also being an effective team-player,
Experienced in the use of the Microsoft Office suite especially Word, Excel, and PowerPoint.
Eligible to work a full-time permanent position in the UK.
Based in London or close to North London.
Will successfully complete a full DBS / background / employment checks as and when required.
