Description

The Executive Assistant (EA) will provide high-level organisational, analytical, and operational support to the SVP of Delivery, enabling them to focus on strategic priorities and leadership across Systal's delivery function. This role goes beyond traditional administrative duties -- the EA will actively track, analyse, and chase critical actions, ensuring delivery commitments are met and performance targets achieved. Acting as a trusted partner, the EA will help maintain momentum on key initiatives, coordinate stakeholders, and ensure the SVP is equipped with accurate, timely information for decision-making.

Key Responsibilities

Efficient, effective, and confidential executive assistant support and completion of administrative tasks are essential in this role including diary management, running reports and arranging meetings. You will have overall responsibility for ensuring that the administrative needs of the chairman and wider Executive Board are effectively met.

- Action Tracking & Follow-Up - Maintain a centralised action log for the SVP's priorities, ensuring visibility of deadlines and dependencies

- Analysis & Reporting - Collate and analyse delivery performance data, producing concise reports and dashboards for leadership review

- Executive & Operational Support - Manage the SVP's diary, scheduling meetings, calls, and travel arrangements efficiently

- Cross-Functional Coordination - Liaise with internal teams (Delivery, Sales, Operations, Finance, HR) to coordinate activities and ensure alignment with strategic objectives.

- Document & Information Management - Draft, proofread, and format correspondence, reports, and proposals to a high professional standard

Key Requirements

- Proven experience as an Executive Assistant or Senior Administrator supporting C-suite or senior leadership.

- Strong analytical skills with the ability to interpret data and produce actionable insights.

- Exceptional organisational skills with the ability to manage multiple priorities under pressure.

- Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams) and data visualisation tools (e.g. Power BI).

- Ability to work with discretion and maintain confidentiality.

- Persistent and results-driven, with a focus on closing out actions and meeting deadlines.

- Analytical mindset with attention to detail and accuracy.

- Resilient and adaptable to changing priorities in a fast-paced environment.
