We are looking for an Executive Assistant to support the Director of Infectious Disease.
Where in Wellcome will I be working?
You will be working in the Infectious Disease Solution Programme, whose mission is to deliver new interventions to combat infectious disease in the most affected communities of Africa and Asia. This is one of the four strategic programmes of Wellcome Research. You will be reporting to and supporting the Director of Infectious Disease as well as working closely with the Infectious Disease Leadership Team. The Infectious Disease team is made up of approximately 50 people.
What will I be doing?
As the Executive Assistant, you will play a vital role in supporting the Director of Infectious Disease. You will provide proactive, high-quality administrative and organisational support, helping to manage their time, priorities, and communications effectively.
As an Executive Assistant to Director of Infectious Disease, you will:
Support the Director to take a proactive and informed approach to delivering on their role. This can involve a range of things:
Effective diary and email management - organising meetings and appointments, managing the Director time to maximise where they can have the greatest impact.
Ensure that the Director is fully prepared and briefed for internal and external engagements inc. external Board meetings and speaking engagements, working closely with colleague to manage input and information flow for this across the team.
Brief the Director ahead of key meetings/visits including organising events with external parties, arranging travel and process expenses and invoices.
Help the Director to prioritise their schedule and manage expectations of internal and external stakeholders.
Coordinate weekly Scientific Advisory Forum and other governance meetings to ensure the decision meetings run smoothly.
Plan and coordinate team away days and team-building activities to strengthen collaboration and support a positive team culture.
Assist with the department's agreed Objectives and Key Result activities, support the Director to monitor progress and reporting.
Work with other EAs and PAs in Discovery and Solutions and across Wellcome to ensure that sufficient cover is available to cover absence, and that surge capacity is available at times when particular teams have higher than usual and business critical needs.
Contribute to a diverse and inclusive culture across the organisation, collaborating across departments.

You should; be confident at using your initiative appropriately; have extensive experience in managing complex diaries and scheduling for senior leadership; have ability to handle, streamline and prioritise simultaneous requests; have high attention to detail; you will need to build strong stakeholder relationships and understanding of a complex matrixed organisation, manage multiple tasks, and handle confidential material professionally as well as mentoring or supervising junior members of a team.
