The Role



We are seeking a highly organised and proactive Executive Assistant with a strong background in finance to support our MD and senior management team.

This hybrid role combines traditional executive administrative support with financial insight and operational assistance. The ideal candidate will be detail-oriented, tech-savvy, and capable of handling sensitive financial data while managing complex schedules, meetings, and communications.

Location



Your normal place of work will be

Quay Corner, Church Bank, Jarrow, Tyne and Wear, NE32 3HH.

You may be expected to visit other geographical locations at the discretion of your job role or the management team. We will provide you where possible the means of travel arrangements in assistance.

Hours of work



Your normal working will be

20-25 hours

within our operating hours of

9:00 to 17:00

Monday to Thursday and 8:00 to 16:00 on a Friday,

including a 30-minute lunch break which is unpaid each day.

Travel Requirements



Some travelling within the UK may be necessary for the performance of your duties.

The role



The Executive Assistant is responsible for:

Executive Support:Financial Operations Support:Communication & Documentation:Office Management

Coordinate and prepare materials for internal and external meetings, including Board and presentations. Screen calls and emails, prioritise correspondence, and respond when appropriate. Maintain confidentiality and handle sensitive information with discretion. Coordinate Team events to ensure to support our team development and growth Support across procurement process Assist in payments, budget tracking, expense reporting, and invoice processing. Review and summarise financial documents, reports, and contracts. Help prepare quarterly financial reports, forecasts, and investor updates. Fleet management Draft internal memos, financial summaries, and executive communications to share across the team. Maintain organised electronic and physical filing systems for financial records, reports, and key documentation. Oversee internal communications to ensure remote and HO staff are fully up to date Support in the onboarding of all new personnel from an equipment, uniform, HR and systems perspective Support the overall office operations so that the teams are able to focus on their key roles and responsibilities - including the health and safety coordination, equipment needs are met.

Skills, Knowledge & Qualifications



Essential



Qualified to at least a Level 3 in Finance/Administration/Business Finance processing (with experience in accounting software (Xero preferred) and the capability to understand basic finance reporting Previous experience as a senior administrator or personal assistant. Proven ability to take minutes and provide board support. A keen eye for detail and strong organisational skills. Excellent grammar and communication skills. Proficiency in IT across Microsoft applications A friendly personality that enables you to work effectively with senior staff members and the team. A full, clean driving licence.
