About the role
We're looking for an exceptional Executive Assistant to provide high-level support to our Operating Board and Technology Department and play a central role in the smooth delivery of key business operations.
This is a fast-moving, high-impact role that calls for someone who thrives on organization, takes initiative, and can confidently manage executive calendars, plan and deliver critical meetings and events, and coordinate the day-to-day activities that keep our leadership team focused and effective.
This role reports into the CEO and CTO with a dotted line into the other UK Operating Board.
What
you'll do
Board & Leadership Support: Manage calendars and schedules for Operating Board members and the Senior Technology Leadership, including coordinating meetings across departments and time zones, booking meeting rooms, organising external customers/advisor meetings (including restaurant bookings),and preparing board reports. Proactively resolve scheduling conflicts, prioritize high-impact meetings, and support OKR management across the business.
Meeting & Event Management: Own the planning, logistics, and follow-up for technology team and company-wide meetings, leadership offsites, product workshops and team events to ensure everything runs smoothly and effectively.
Travel Coordination: Book domestic and international travel, accommodation, and itineraries for board members, senior leaders and all technology department funded travel, ensuring efficiency, compliance, and cost-effectiveness.
Office Events: Support the planning and delivery of engaging office events and team-building activities that bring our people together and boost morale. Manage event budgets, bookings, venues, catering, and itineraries.
Charity and Community Events: Support the planning, coordination, and execution of company charity and community initiatives.
Administrative Tasks: Deliver day-to-day administrative support, including preparing presentations, drafting internal and external communications, taking meeting minutes, managing expenses, and coordinating company meetings. Manage visas and travel documentation as required, and support the completion of ESG-related RFI and RFP supplier questionnaires across the business.
Technology Team Support: Assist the Technology team with visa applications and submissions, while also supporting contractor onboarding processes across the business.
Technology Department Staff Onboarding: Assist the onboarding process for staff joining the technology department.
What we're looking for
Experienced and accomplished, with a strong track record as an Executive Assistant or in a similar high level administrative role supporting senior leadership.
Highly organized and agile, able to manage multiple priorities seamlessly with a proactive mindset and meticulous attention to detail.
Trusted and discreet, with proven ability to handle sensitive and confidential information with the utmost professionalism and integrity.
An exceptional communicator, with polished written and verbal communication skills and the confidence to represent senior leaders internally and externally.
Proficient in event and travel coordination, with demonstrated experience managing high-level meetings, leadership offsites, and complex domestic and international travel arrangements.
Technologically proficient, with advanced working knowledge of Microsoft Office Suite (including Outlook, PowerPoint, and Excel), Microsoft Teams, and other relevant business platforms. Ability to learn and administrate internal business systems.
A natural relationship builder, who can quickly build trust and collaborate effectively across all levels of the business, including C-suite stakeholders.
