ROLE OVERVIEW:




We are seeking a highly organised, proactive, and discreet Executive Assistant to provide comprehensive administrative and strategic support to our Senior Leadership Team. Joining our EA team, you will be supporting the EA to the CEO with tasks such as diary organisation, minuting weekly meetings as required, assisting with DSE assessments, office management (Health and Safety) and event organisation.


The ideal candidate will be an exceptional communicator with excellent organisational skills, a keen eye for detail, and the ability to manage multiple priorities in a fast-paced environment.


The role is available on a part-time basis, requiring a commitment of 28 hours per week.


We follow a hybrid working model, and you must be able to travel to our office near Paddington Station, London, at least once a week.


This position is initially offered as a 12-month fixed-term contract, with the potential to become permanent in the future.

KEY RESPONSIBILITIES:



As part of the EA Team, you will be responsible for managing the office including overseeing Health and Safety compliance. Provide high-level administrative support to the executive, including calendar management and meeting scheduling. Manage email inboxes, prioritising messages and drafting responses where appropriate. Coordinate and attend meetings, taking accurate minutes and ensuring timely follow-ups on action items. Handle confidential information with discretion and maintain strict confidentiality at all times. Organise and maintain office systems, including the Company intranet and team collaboration platforms such as Confluence. Proactively anticipate needs and take initiative to support the SLT's effectiveness and productivity.

QUALIFICATIONS,

EXPERIENCE, SKILLS AND COMPETENCIES:



A minimum of 2 years' proven experience as an Executive Assistant, Personal Assistant, or similar role, ideally supporting C-suite or senior-level executives. Excellent verbal and written communication skills. Strong organisational and time-management abilities; capable of working independently and prioritising effectively. High level of discretion, professionalism, and integrity. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and digital collaboration tools (e.g. Teams, Zoom). Ability to remain calm under pressure and handle last-minute changes with flexibility. Strong problem-solving skills, excellent attention to detail and a proactive approach to tasks. Additional qualifications in administration or business support are a plus.

WORKING ARRANGEMENTS AND KEY TERMS:



This role is offered as a Fixed Term Contract for 12 months, with the potential to become permanent in the future. The role is part-time, with a requirement to work 28 hours per week. Hybrid working - there will be a requirement to work from the office one day per week and other days would be working from home. Must have the right to work in the UK. A relevant level DBS check will be requested at the point of offer, and this is funded by Medefer. Subject to two satisfactory employment references, one being the most recent employer. A private and confidential space to work in at home when working remotely.
