About this role




As an Executive Assistant to our CEO, May Habib, you'll provide comprehensive and proactive support from our London office. You'll be a crucial partner to the CEO, ensuring her time is optimized and her schedule is managed with precision and foresight. This role requires a deep understanding of the CEO's priorities and the ability to act as a seamless extension of her, facilitating effective communication and collaboration across a globally distributed team.


You will work in close partnership with the U.S. based Office of the CEO team, acting as the key logistical and scheduling point of contact during the CEO's time in London and ensuring smooth handovers for her frequent travel to the United States. Your role is pivotal in maintaining momentum and providing consistent, high-level support across time zones.


This is a hybrid role based in London. You must be able to commute to our London office when required.

Your responsibilities



Complex calendar management:

manage the CEO's dynamic schedule across the EMEA region, understanding key priorities to strategically organize meetings and commitments

International & domestic travel:

book and plan all logistics for the CEO's EMEA based travel, including flights, hotels, ground transportation

Daily agenda & briefings:

ensure the CEO's daily agenda is updated and includes comprehensive prep sheets and background information for all EMEA based external meetings

Event & conference support:

provide on-site support at in-person events and conferences across EMEA, ensuring seamless logistical execution

Inbox management & correspondence

triage the CEO's inbox and prioritize messages, and draft emails on the CEO's behalf to ensure timely, professional, and aligned responses

Stakeholder coordination:

serve as the key liaison with internal and external stakeholders to support the CEO's schedule and regional priorities

Personal support:

provide personal support for the CEO including managing personal appointments, travel, and errands, ensuring seamless coordination between professional and personal commitments

Miscellaneous admin support:

additional administrative support as needed by the CEO and the Office of the CEO

You have 5+ years of experience as an administrative professional supporting a C-level executive, preferably a CEO or founder in a fast-paced, high-growth technology company You are located in London and able to work in a hybrid model, coming into our London office as needed You have proven experience with heavy calendar management and booking complex international travel You are highly proficient in Google Workspace and can quickly master new tools like Notion and Asana You possess exceptional organizational and time management skills, with an ability to prioritize effectively among competing demands You are known for your meticulous attention to detail and accuracy You have direct experience managing logistics for CEO/founder media and event appearances You are an outstanding communicator with experience coordinating effectively with globally-distributed teams
