Overview

On behalf of our client, we are seeking a highly experienced, proactive, and discreet Executive Assistant to support the Founder within a fast-paced and evolving Private Office based in London, EC1R. This role provides seamless support across both professional and personal domains, ensuring the Founder's time, priorities, and household operations are managed with precision and excellence.



Reporting directly to the Head of Private Office in Dubai, and working closely with the EA based in New York, the successful candidate will serve as a trusted liaison between the Founder, the Private Office, and key internal and external stakeholders.



This position combines traditional EA responsibilities with oversight of the Founder's private residence, requiring exceptional organisational skills, sound judgment and a refined service mindset.



The ideal candidate will have substantial experience supporting senior executives, founders, or UHNW individuals, demonstrate the ability to anticipate needs, and consistently operate with the utmost professionalism and discretion.

Native or bilingual German (C2 level), written and spoken, would be advantageous.

Responsibilities of the EA for Private Office in London, include:



Executive Support


Manage complex and dynamic calendars across multiple time zones, ensuring seamless scheduling of meetings, appointments, and commitments Coordinate all aspects of international and domestic travel, including flights, accommodations, ground transport, and detailed itineraries Prepare and organise meeting materials, agendas, and briefing documents; ensure timely follow-up and execution of action items Screen, prioritise, and manage all incoming correspondence and communications, drafting or responding on behalf of the Founder where appropriate Act as a trusted liaison between the Founder and internal teams, portfolio companies and external partners, maintaining confidentiality and professionalism Process and reconcile expenses, manage invoices, and monitor related budgets to ensure accurate financial tracking and reporting Provide proactive administrative and logistical support for personal projects, errands, and ad hoc initiatives as required Maintain regular coordination and alignment with the Executive Assistant based in New York and the Head of the Founder's Private Office to ensure consistency and efficiency across time zones and locations

Household Coordination


Oversee the daily operations and upkeep of the Founder's private residence, ensuring a consistently well-maintained, organised, and welcoming environment Manage and coordinate household staff, including cleaners, maintenance personnel, and external service providers, to ensure high service standards Monitor household inventories and ensure the residence remains fully stocked with essential items such as groceries, supplies, and amenities Oversee all household logistics, including deliveries, mail handling, and package coordination Assist with ad hoc personal and household errands, including dry cleaning, making reservations, and coordinating private events Maintain proactive oversight of property maintenance schedules, addressing any issues promptly to ensure smooth and efficient household operations

Candidates must be/have:

5+ years' experience as an EA/PA or senior support professional, ideally in a family office/UHNWI, or within financial services Proven support of C-suite executives, founders, or UHNW individuals in fast-paced, high-pressure environments Absolute discretion in handling confidential and sensitive information Exceptional organisational, time-management, and multitasking skills with strong attention to detail Excellent written and verbal communication with a polished, professional style Highly tech-savvy; proficient in MS Office, digital calendars and collaboration tools (e.g. Zoom, Teams) Strong financial acumen, including expense management, invoicing, and vendor budgets Professional, service-oriented, and flexible to work outside standard hours when required Willingness to travel domestically and internationally as needed

Preferred


Experience in a family office, UHNW, or founder-led investment environment Ability to manage both corporate administration and private household affairs Strong knowledge of London, including trusted vendors and logistics networks Native or bilingual German (C2 level), written and spoken Experience working within a global private office across multiple time zones Highly adaptable, responsive, and able to manage last-minute changes independently

Hours


---------



Full-time, Monday - Friday.



Given the nature of the position, candidates should be flexible and comfortable with some weekend work, as and when required.


Location


------------



London (EC1R), with a hybrid working arrangement requiring 3-4 days per week in the office.


Salary & Benefits


----------------------



70,000 - 80,000, DOE.



Plus, discretionary bonus, private medical insurance, life insurance and 6% pension contribution.
