Job Description

We are seeking a highly organised and proactive Executive Assistant to provide high-level support to the Head of the Commercial Division. This is a pivotal role requiring the ability to work independently, manage priorities effectively, and to keep operations running seamlessly.



The Commercial Division represents approximately 20% of the wider business, generating over 28 million in revenue, with a team of 250 people across eight UK offices. The position is based in our London HQ in Chapel Place which has over 100 professionals across our main divisions. There are lots of exciting events going on with various office socials, health & wellbeing and fundraising activities to get involved in.

Main tasks:



Executive Support



Calendar & Diary Management: Inbox Management & Email Triage: Correspondence & Document Preparation: Travel Coordination & Logistics: Meeting Coordination & Follow-Up: Proactive Task & Relationship Management:

Division Coordination



Act as the main administrative point of contact for the Commercial Division, liaising with other divisional administration leads. Collaborate with Executive Assistants in consultancy and agency subdivisions to standardise documentation and drive administrative improvement projects.

Project Management



Support delivery of divisional administrative projects working along side Agency and Consultancy EA's. Assist the Head of Commercial Division in achieving five-year business plans and targets. Coordinate HUB office meetings, including organisation, attendance, and action tracking.

Operational Support



Regular liaison with operational support teams including Finance, HR, IT, Marketing, PR and Research as required

What will it take to be successful?





The ideal candidate will have proven experience as an Executive Assistant or in a similar role supporting senior leadership, with experience in the commercial property sector being advantageous. Strong organisational and time-management skills, excellent communication, and attention to detail are essential, along with the ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office and familiarity with LinkedIn are required. A relevant administrative or business qualification would be beneficial but is not essential.
