The Role
We are looking to hire an experienced
Executive Assistant
to join our team.
The responsibilities will include
Extensive calendar and diary management, including scheduling and prioritising meetings, appointments, and events.
Answering, screening, and directing telephone calls promptly and professionally.
Managing and monitoring the CEO's email inbox, drafting and sending responses, and prioritising time critical correspondence.
Coordinating schedules, meetings and appointments.
Arranging travel and booking accommodation for site staff and management team, preparing itineraries.
Providing general administrative and clerical support, maintaining accurate records and filing systems.
Preparing professional documentation including letters, statements, and reports.
Liaising with clients, colleagues and external partners to ensure smooth communication and coordination.
Greeting and hosting visitors and clients, upholding a professional and welcoming environment.
Overseeing business projects, ensuring timelines, and actions are effectively tracked.
Attending meetings, taking accurate minutes and recording actions.
Supporting recruitment, including interviewing and onboarding.
Monitoring expenses, preparing reconciliations and reports as required.
Organising dinners, social events, and business events.
Conducting research and preparing reports on new business ventures, partnerships, or potential projects.
Ensuring strict confidentiality and handling sensitive information with professionalism and discretion.

Proficiency in the full Microsoft Office suite (Outlook, Word, Excel, PowerPoint, Teams).
Advanced drafting, writing, editing, and research skills.
A commitment to professionalism, confidentiality, and continuous improvement.
