About the Role



We are looking for a proactive Executive Assistant to provide high-level administrative and organisational support to the Executive Board of Directors and the wider business as required, ensuring the smooth and efficient running of Board activities and supporting strategic and operational priorities.

Main duties include:
Executive and Board Support

Business and occasional personal support for members of the Executive Board Provide proactive diary management for members of the Executive Board, ensuring effective scheduling and prioritisation of meetings, travel and commitments. Coordinate Executive Board and other meetings, including preparing and circulating agendas, papers, and minutes within agreed timescales. Organise and collate meeting papers, briefing materials, and actions, ensuring timely completion and quality assurance. Record accurate and confidential minutes of Board and other meetings, capturing key actions and decisions. Support governance processes by maintaining up-to-date records of Board actions, decisions, and approvals.
Communication and Liaison

Act as the first point of contact for external stakeholders, managing correspondence and enquiries with professionalism and discretion. Draft and proof correspondence, presentations, and reports on behalf of the Executive Board.
Operational and Administrative Support

Coordinate travel, accommodation, and itineraries for Executive Board members and management team as required. Organise and facilitate internal and external events, such as Board away days, senior leadership meetings, social events and company conferences. Maintain effective filing systems to ensure confidentiality and compliance with data protection requirements. Support the planning and delivery of key company initiatives, projects, and communications led by the Executive team. Liaise with suppliers and service providers for office equipment, stationery, catering and other business support needs as required, ensuring best value and efficiency for the business
Continuous Improvement

Anticipate the needs of the Executive team and propose ways to improve efficiency, communication, and information flow. Maintain awareness of key business priorities, industry developments, and upcoming activities impacting the Executive Board.
You will also take on additional responsibilities from time to time as required by the business.

The role can be full time or part time, and is based at our office in Newmarket, with hybrid working available after probation and on discussion. Occasional travel to our office in Norwich or other locations may also be required.

About You



Ideally you will have prior experience as an Executive Assistant at senior management or Board level, preferably within financial services or a regulated environment. However, having experience of demonstrating the right skills is more important - you will excel at providing support in a fast-paced environment whilst managing competing priorities, deadlines and requirements.

You must have:

Excellent organisational and time management skills. Strong written and verbal communication skills, with high attention to detail. Discretion and professionalism in handling confidential information. Confidence using Microsoft Office and managing documents electronically. A proactive, flexible and solutions-focused approach
Desirable:

Prior experience as an Executive Assistant or Personal Assistant, ideally at senior or Board level Experience organising corporate events and travel Experience in financial services or another regulated industry Experience supporting governance and Board processes. Familiarity with company secretarial requirements or regulated environments.
You're curious about how and why things are done, questioning beyond the obvious to find better ways of working. You assess options and propose practical solutions, adapting quickly to changing circumstances. You anticipate needs, take proactive action, and lead by example in adding value. You manage competing priorities effectively, communicate with influence, and build trusted, collaborative relationships within Yutree and with external partners.

About the Package
