We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative and operational support to senior staff. This role is pivotal in enabling effective research and programme delivery by managing diaries, coordinating logistics, tracking activity, and supporting external relationships.


The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of 18.43 per hour + holiday pay


Key Responsibilities



Manage complex diaries across time zones, including scheduling meetings, room bookings, and resolving conflicts. Coordinate national and international travel, including accommodation, visa arrangements, and itineraries. Process and track expenses, reimbursements, and travel claims. Monitor and triage shared inboxes, responding or escalating as appropriate. Maintain oversight of team activities, updating internal trackers and supporting effective workflow. Facilitate meetings by preparing agendas, circulating papers, taking minutes, and following up on action items. Support research project logistics, including coordination of timelines, deliverables, and budgets. Liaise with collaborators and administrators to support contract execution and document processing. Build and maintain professional working relationships with internal and external stakeholders. Track relevant funding opportunities and share with the team in a timely manner. Draft initial content for funding applications or partnership proposals. Attend virtual and in-person events to identify opportunities for collaboration or visibility.

Selection Criteria



Proven experience supporting senior staff, with excellent diary and travel management skills. Discreet and professional in handling confidential matters. Exceptional organisational and multitasking ability, with a focus on detail and deadlines. Experience coordinating meetings, workshops, or events, both in-person and online. Excellent written communication, including the ability to draft correspondence, briefings, and meeting documentation. Strong IT skills including Microsoft Office (especially Outlook, Word, Excel), cloud-based tools (e.g. Teams, Google Docs), and familiarity with AI tools like ChatGPT. Numerate, accurate, and experienced in processing expenses and supporting financial oversight. A self-starter with sound judgement, able to work independently and manage priorities. Confident engaging with a wide range of academic, professional, and external stakeholders.
