About Dr Elaine Halley



Dr Elaine Halley is an award-winning dentist, educator, and business leader. She is the owner and Principal Dentist at Cherrybank Dental Spa in Perth, founder of the Pathfinder Study Club, and Clinical Director of the Pain Free Dentistry Group. Her work spans clinical practice, mentoring, and international lecturing - inspiring dentists and teams across the UK and beyond.

This is a rare opportunity to work directly with Dr Halley, supporting her across multiple businesses and projects.

Role Overview



The Personal Assistant will play a pivotal role in managing Dr Halley's professional and personal commitments streamlining her communications, organising her schedule, and supporting the smooth running of her teaching and business ventures.

You'll help create systems, manage priorities, and ensure follow-through on everything from financial tracking to study club preparation and travel logistics.

Key Responsibilities



Email, Diary & Communication Management



Organise and triage Dr Halley's professional and personal emails, highlighting key priorities. Manage and reconcile multiple calendars (including Zeeg) across Cherrybank, Pain Free, educational engagements and personal commitments. Track Slack messages and posts for the Pain Free Dentistry Group, ensuring timely replies, mentoring calls are scheduled and training updates are diarised. Contact new dentists to schedule in practice mentoring days. Liaise with Cherrybank management and team members to ensure treatment plans are scheduled and other clinical and strategic actions are scheduled and completed by Dr Halley as required by the Cherrybank team.

Business & Financial Administration



Create and maintain efficient systems to track expenses across multiple businesses. Prepare and track invoices for Clinical Director fees, lectures, and teaching events. Coordinate with Spot-On Business Planners to ensure monthly submissions are complete.

Planning & Project Support



Help Dr Halley prioritise tasks for focus and buffer days, maintaining visibility on progress. Record and follow up on action points from management and mentoring calls. Support Pathfinder Study Club planning, liaising with the study club coordinator and ensuring all materials and logistics are ready.

Lecturing, Travel & Events



Book and coordinate travel and accommodation for lectures, courses, and meetings. Organise lecture preparation, submission deadlines, and technical appointments. Respond to lecture and teaching enquiries professionally and promptly.

Social Media & Content Support



Coordinate social media posts and schedules for Dr Halley's teaching and professional brands. Collaborate with marketing teams to maintain consistent tone and presentation.

Personal Organisation



Manage practical tasks such as car servicing and coordinating pet care when Dr Halley is travelling.

About You



Exceptionally organised and detail-oriented Skilled at managing multiple email accounts and calendars Confident using digital tools (Slack, Zeeg, Google Workspace, Apple calendars etc.) Professional communicator with excellent written and interpersonal skills Proactive, adaptable, and able to anticipate needs before they arise Discreet and comfortable handling confidential information Ideally experienced supporting senior professionals, business owners, or educators
