Executive Assistant & Project Co Ordinator

London, ENG, GB, United Kingdom

Job Description

About Us

We're a London-based office-fit-out Company shaping work spaces where creativity and functionality meet. Our projects range from boutique refurbishments to large-scale corporate transformations, all driven by a love of thoughtful design and seamless delivery.

The Opportunity

We're looking for an organised, collaborative, design-minded problem solver to be the glue between our people and our projects. This hybrid role blends executive support, project coordination, and agile facilitation.

You'll be the trusted right hand to our Sales Director and also support our Operations Director, making sure ideas become actions, actions become deliverables, and every project moves forward with clarity and purpose.

What You'll Do:

Support & Enable

- Partner with the CEO/Sales Director to prep meetings, keep priorities in focus, and manage diaries.

- Oversee the creation and management of presentations that communicate our story beautifully and clearly.

Connect & Coordinate

- Keep project action lists alive and ensure owners follow through--across sales, design, procurement, and site teams.

- Monitor timelines and budgets, flagging risks early and helping the team find creative solutions.

- Champion smooth communication so everyone stays aligned, from studio to construction site.

- Help remove roadblocks and encourage continuous improvement in our processes.

Improve & Evolve

- Refine workflows, templates, and reporting to make project delivery smarter and more efficient.

- Prepare regular progress reports and project dashboards for leadership.

What You Bring

- Experience as an Executive Assistant, Project Co-ordinator, Scrum Master, or in a similar hybrid role--ideally in a design, architecture, or creative project environment.

- Comfort with agile/scrum methods and project tools.

- Exceptional organisational skills and a calm approach when things get busy.

- Excellent communication skills, able to speak the language of designers, contractors, and executives alike.

- A natural eye for detail and a proactive, "let's make it happen" mindset.

Nice to Have

- Agile or project management certification (Scrum Master, PRINCE2, PMP)

- Familiarity with Microsoft 365, Adobe Creative Suite, and collaborative platforms.

Who You Are

- Curious and collaborative--you love bringing people together to solve problems.

- Organised and structured, who enjoys bringing order to many moving parts and has strong attention to detail

- Positive, adaptable, and happy to roll up your sleeves when deadlines loom.

What We Offer

- Competitive salary and expenses for travel to London

- Hybrid working with a vibrant central London base - the expectation would be a minimum of 3 days per week in the office. We can be flexible around times worked.

- Pension and private healthcare

- Opportunities for professional development and creative learning

- A culture that values design, innovation, and people who care

Job Type: Part-time

Pay: 19,000.00-24,000.00 per year

Expected hours: 20 - 25 per week

Benefits:
