Job Description

The Executive Assistant will provide high-level administrative, financial, and organisational support to the leadership team, ensuring the efficient day-to-day operation of executive functions. This is a

part-time role of 20 hours per week

, with

flexibility in how and when the hours are worked

across the week. The role can be

home-based, office-based, or a hybrid of both

, depending on the candidate's preference and location. The role is ideal for a self-motivated professional with experience in executive support, event coordination, and basic financial administration.

The Executive Assistant will manage communications, calendars, internal and external events, and light finance processes. They will also play a key role in supporting a productive and professional culture through organisation, discretion, and attention to detail.

Executive Support & Operations:

Managing calendars, appointments, and meetings for executive leadership Coordinating internal and external communications, including emails, calls, and written correspondence Preparing meeting materials: agendas, minutes, action tracking, and follow-ups Arranging travel, accommodation, and itineraries for staff Handling confidential and time-sensitive information with discretion Supporting day-to-day administrative functions, including document management and scheduling
Staff and Client Event Coordination:

Planning and executing internal team events (e.g., away days, social events, training events) Coordinating client-facing activities such as webinars, briefings, and appreciation events Managing logistics including venue booking, catering, invites, and materials Overseeing event communications and post-event evaluation processes Ensuring all events reflect company culture and values
Finance & Administrative Support:

Processing invoices and supporting basic bookkeeping tasks Assisting with expense tracking and reconciliation Liaising with the accounts team as needed to ensure records are accurate and up to date Maintaining records of financial documents and ensuring timely submission Supporting budget tracking for projects and events
Project Support & Communication:

Supporting the leadership team with project coordination and deadline tracking Preparing reports, presentations, and briefing documents as required Acting as a liaison between internal teams and external partners Maintaining clear records, systems, and shared tools to support team productivity
Key Skills and Attributes:

Strong organisational and time-management abilities Excellent communication and interpersonal skills Experience with basic financial administration (e.g., invoices, reconciliation, expense tracking) Event planning or coordination experience Proficiency in Microsoft Office and/or Google Workspace High level of discretion and professionalism Ability to work independently and manage multiple responsibilities Positive, proactive attitude and a collaborative approach
Qualifications and Experience (Essential):

Prior experience as an executive assistant, PA, or administrative coordinator Experience managing invoices, budgets, or reconciliations Experience supporting leadership or senior management
Qualifications and Experience (Desirable):

Event planning experience Familiarity with financial systems or accounting software (e.g. Xero)
Job Types: Part-time, Permanent

Pay: 15,600.00-20,000.00 per year
