TMP Public is an international non-profit company that solves complex social and environmental problems. We work with foundations, consultancies, businesses, NGOs, and governments to deliver concrete progress in areas like local adaptation and resilience, critical mineral supply chains, biodiversity protection, food security and infrastructure planning.
The Role
We are looking for a responsible, organised, and highly skilled Executive Assistant to provide support to our Directors, as well as administrative support to Project Leads and the HR team. The primary responsibilities of the job will be to perform key tasks including:
? Inbox and diary management, email communications, expenses and task prioritization.
? Organisation and coordination of quarterly Board meetings, including Board pack preparation and distribution.
? Organise, schedule and attend online and in-person meetings and events, including producing participant profiles and agendas as well as follow up.
? Assist with planning and executing internal and external company events.
? Coordinate and schedule travel, including accompanying the Directors on important trips and attending company events.
? Provide administrative support to the HR and accounts team, including inbox management, meeting coordination, targeted research, and assisting with core HR workflows (e.g., gathering information, tracking responses, and maintaining key documentation).
? Supporting internal KPI and training processes
? Salesforce database management.
? Meeting room bookings, day pass bookings and visitor registration of London co-working space.
? Ad-hoc internal comms support and social media
? Liaising with the EA of our Japan-based sister organization TMP Climate.
? Any additional ad-hoc duties as requested by the Directors.
Qualifications and skills
? Experience as an Executive Assistant or Personal Assistant (preferably supporting senior-level executives).
? Experience in handling multiple complex calendars and scheduling across different time zones.
? Excellent communication and organizational skills, with ability to work independently and with initiative.
? Strong problem-solving skills, with a proactive and flexible approach to work as well as the ambition to improve the organization and its impact.
? Experience and interest in events management and/or with fundraising work is highly desired.
? Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, Salesforce and similar software is highly desired.
? Bachelor's degree or equivalent experience is preferred.
? Experience of remote working is preferred.
