ABOUT US:
We are a leading health and social care organisation supporting people with complex needs, neurological conditions and acquired brain injuries. As we continue to deliver impact and influence in the sector, we are looking to appoint a proactive, highly organised, and professional Executive Assistant to support the Chief Executive Officer (CEO) and the Board of Trustees.
This is a pivotal role that will ensure the effective running of the CEO's office, support the Board to fulfil its duties, and contribute to the smooth operation of our leadership team.
MAIN PURPOSE:
The Executive Assistant (EA) will provide high-level professional support to the CEO and the Board of Trustees. The post-holder will be a key part of the CEOs team, demonstrating excellent judgement, diplomacy, and discretion.
The EA will manage the CEO's office efficiently, co-ordinate communications, ensure effective diary and meeting management, and act as a key point of liaison between the CEO, senior leadership, trustees, and a wide range of stakeholders.
The role requires someone who is proactive, methodical, adaptable, and able to thrive in a fast-paced environment with changing priorities.
MAIN TASKS AND RESPONSIBILITIES:
Support to the CEO
Manage the CEO's diary, prioritising and scheduling appointments, meetings and engagements to ensure effective time management.
Manage correspondence and communications on behalf of the CEO, drafting responses and ensuring timely follow-up.
Prepare and collate briefing materials, reports and presentations as required for meetings and external engagements.
Lead the organisation and administration of CEO-led meetings, including taking accurate minutes and following up on actions.
Support project management of key initiatives led by the CEO and monitor progress on agreed actions.
Act as the first point of contact for internal and external stakeholders, dealing professionally and appropriately with people at all levels.
Support to the Board of Trustees
Act as a key liaison between the Board of Trustees, CEO and senior managers, fostering strong relationships and effective communication.
Provide trustees with timely, well-prepared briefings, sector insights, and organisational updates to support informed decision-making.
Coordinate trustee onboarding, training, and engagement in key organisational events and activities.
Provide project management and administrative support for board-led initiatives and working groups, tracking actions and supporting delivery.
Support board effectiveness through trustee development tracking, governance reviews, and continuous improvement processes.
Office and Relationship Management
Ensure smooth and professional operation of the CEO's office at all times.
Represent the CEO and the organisation in a positive and professional manner internally and externally.
Build strong relationships with staff, trustees, partners, and external stakeholders.
Support internal communications and contribute to building a cohesive and collaborative organisational culture.
General
Undertake a wide variety of administrative and organisational tasks as required.
Support the wider leadership team on organisational priorities where appropriate.
Uphold the organisation's values and contribute positively to its culture.
Manage sensitive information with absolute discretion and confidentiality.
ABOUT YOU:
Qualification in relevant subject i.e. Business Administration, secretarial diploma, secretarial studies.
Educated to degree level or equivalent in relevant subject i.e. Business admin, management or related field.
Proven experience of providing executive assistant support to CEO and/or Executive Directors.
Experience of arranging director level meetings to include accurate minute-taking and monitoring progress on action points.
Experience of providing executive support to a board of Trustees.
Experience of internal/external stakeholder management.
Experience of organising and managing corporate events.
Experience of working with confidential and sensitive information.
Demonstrates flexibility with respect to working hours.
Ability to meet the travelling requirements of the post, which may include the need for occasional overnight stays.
Desirable - a full UK Driving license.
