We are launching our first flagship location with

3 treatment rooms

and will be opening our

second London location next year

. We are building a clinic that runs with high standards, strong systems, and a luxury client experience--whether the CEO is present or not.

To support this vision, we are hiring a

high-level Executive Assistant / Clinic Operations Manager

who will take ownership of daily operations, team management, training, marketing coordination, and KPIs.

This is NOT a standard admin position -- this is a

leadership role

for someone who wants to grow with a scaling brand.

ROLE OVERVIEW



As the Executive Assistant & Clinic Operations Manager, you will be the

operational engine

of the clinic. You will oversee daily flow, staff coordination, scheduling, inventory, systems, marketing communication, and delivering a consistent 5-star client experience across all three rooms.

You will hire, train, and manage our team of Clinic Girls, therapists, and support staff. You will work closely with the CEO, who will provide vision, systems, tools, and support--but

you will run the daily operations independently

.

Your role is crucial in preparing the business for multi-location expansion.

KEY RESPONSIBILITIES1. Operational Leadership



Manage the daily running of the clinic, ensuring smooth client flow and operational efficiency Oversee opening and closing procedures, room readiness, and quality standards Ensure all 3 treatment rooms are clean, stocked, and set up ahead of every day Solve on-the-spot problems quickly (delays, stock issues, staff gaps, client concerns) Maintain clinic SOPs and operational manuals

2. Staff Management & Training



Recruit, screen, and interview new staff (Clinic Girls, therapists, admin, interns) Onboard and train all staff into our luxury service standards Lead Clinic Girls to deliver a premium greeting & hospitality experience Monitor daily staff performance and provide feedback Run weekly team meetings and performance check-ins Build a professional, positive, client-focused team culture

3. Marketing Coordination



Act as the main point of communication with: Marketing teams Social media managers Videographers/photographers Influencers Content creators Ensure daily content (videos, BTS, before/afters) is captured by staff Send content and weekly campaign goals to marketing teams Maintain brand consistency across visuals, tone, and campaigns Support marketing by organizing testimonials, review requests, and content opportunities

4. KPI Tracking & Systems Management



Record daily, weekly, and monthly performance metrics: Revenue Number of clients Rebooking rate Room occupancy Staff performance Inventory levels Marketing content output Generate clear reports for the CEO Improve systems based on data and insights Ensure the clinic always has real-time visibility of how the business is performing

5. CEO Support



Manage the CEO's calendar, meetings, and communications Prepare daily operational summaries and issue reports Support the CEO on hiring, marketing strategy, and expansion plans Execute tasks quickly and precisely Ensure the clinic operates at a high level without needing the CEO present every day

The CEO will work closely with you, provide all tools and support, but WILL NOT handle daily operations. You are the owner of execution.



6. Client Experience Oversight



Ensure a flawless luxury client experience from entry ? consultation ? treatment ? exit Uphold service standards, hospitality, and brand feel Oversee review collection and aftercare messaging Resolve escalated client concerns respectfully and professionally

REQUIRED SKILLS & EXPERIENCE



You should have:



Experience as an Executive Assistant, Operations Manager, Clinic Manager, Office Manager, or similar role Strong leadership and people management skills Experience in beauty, aesthetics, hospitality, wellness, retail, or healthcare (preferred) Strong communication skills Excellent organizational and multitasking abilities Comfort with problem-solving and taking initiative Ability to manage multiple moving parts Professional, warm, reliable, and client-focused attitude Tech-savvy (CRM systems, scheduling apps, email, spreadsheets)

Job Types: Full-time, Permanent, Temp to perm
Contract length: 1 month

Pay: 14.00-20.00 per hour

Expected hours: 35 - 45 per week
