About our Opportunity:



The Executive Assistant (EA) to the CEO is a pivotal role providing high-level executive support while also taking responsibility for effective office management. This position acts as a trusted partner to the CEO, ensuring smooth day-to-day operations, well-coordinated communications, and efficient management of executive priorities.

In addition, the EA has line management responsibility for the reception and administration team and oversees general administrative functions across the organization.

Key Responsibilities:



Executive Support to the CEO



Provide comprehensive administrative and operational support to the CEO. Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel. Coordinate travel arrangements, itineraries, and expenses. Coordinate meetings and events. Prepare correspondence, presentations, reports, and meeting materials. Act as primary point of contact between CEO and stakeholders. Screen and prioritize communications. Organize SLT and board meetings. Take minutes and ensure follow-up on actions. Maintain confidential information. Track strategic initiatives / KPIs. Anticipate needs and proactively solve problems.

Office Management



Oversee the management and smooth running of the office following office systems, processes, and policies. Oversee the management and running of the reception and visitor experience. Manage facilities, vendors, supplies, and contracts. Ensure a professional office environment. Manage events and visits to the facility Directly manage the reception and admin team. Allocate workloads and priorities. Manage schedules, leave, and coverage. Ensure high standards of customer service.

Qualifications & Experience



Proven experience in an EA role, including at least 3 years in a senior role supporting CEO/C-suite

Working Hours:


Full time, 37.5 hours, Monday to Friday.

Location:


Site based work at our Global Centre of Excellence in St Helens.

Holidays:


27 days holiday plus bank holidays. Plus, additional service days
