Role Overview



The Executive Assistant will provide high-level administrative support to the Finance Director, ensuring efficient management of daily operations with a primary focus on complex calendar coordination, email triage, and workflow prioritisation. This role requires exceptional organisational skills, discretion, and the ability to proactively manage competing demands in a fast-paced environment.

Key Responsibilities



Calendar Management



Manage and maintain a complex, dynamic calendar for the Finance Director. Coordinate internal and external meetings, calls, and appointments. Prioritise and schedule commitments based on urgency, strategic importance, and
time constraints.

Anticipate scheduling conflicts and proactively resolve them. Ensure the Finance Director is prepared for meetings with relevant materials and
background information.

Email & Communication Management



Monitor, organise, and triage the Finance Director's inbox. Draft, proofread, and send professional correspondence when required. Identify action items, flag urgent matters, and ensure timely follow-up. Maintain strict confidentiality when handling sensitive information.

Administrative Support



Prepare meeting agendas, minutes, and follow-up summaries. Assist with the creation and formatting of documents, spreadsheets, and
presentations (Excel and PowerPoint).

Maintain organised digital filing systems for quick access to key information. Support travel arrangements and logistics (if applicable).

Operational Support



Liaise with internal departments, senior leadership, and external stakeholders. Assist with project tracking and deadline management for finance-related initiatives. Support ad-hoc tasks to ensure the Finance Director's time is used effectively.

Person Specification



Essential



Proven experience as an Executive Assistant, Personal Assistant, or similar senior
administrative role.

Strong experience managing complex calendars and high-volume email inboxes. Excellent written and verbal communication. Proficiency in Microsoft Excel (e.g., formatting, formulas, data organisation) and
PowerPoint (e.g., building and polishing executive-level decks).

Strong organisational skills with the ability to multitask and prioritise effectively. High level of professionalism, discretion, and confidentiality. Proactive, anticipatory, and able to take initiative. Highly detail-oriented and committed to accuracy. Calm and composed when handling multiple or shifting priorities. Strong relationship-building and interpersonal skills.

Desirable



Experience supporting a Finance Director, CFO, or other senior finance leader. Familiarity with basic financial documents and reporting. Experience working in a fast-paced or complex organisational environment.
